Overview
We’re looking for a bilingual (English/French) Receptionist who takes pride in keeping a professional office organized, running smoothly, and welcoming clients with warmth and professionalism. You’ll handle core administrative duties over two businesses, coordinate schedules, manage communication, and support the flow of work across the office — all while maintaining a warm, professional presence when welcoming clients.
Key Responsibilities
- Answer and route telephone calls, taking clear and accurate messages for various lawyers, and Members of Stave Law Chambers (including Grener Law) in English and French (Arabic an asset but not mandatory)
- Greet Lawyers' clients, Notary Clients, and Members of Stave Law Chambers
- Manage incoming email, mail, packages, and general correspondence including advising recipients when mail arrives.
- Maintain calendars, schedule appointments, and coordinate meetings (including Teams), including scheduling Notary and other appointments
- Scan, organize, and file documents (digital and paper)
- Manage reception duties with professionalism and warmth
- Provide administrative support to one or more lawyers as needed (on the job training provided), including operating Point of Sale Device, receiving Notary Clients, including entering billing details into Quickbooks, and updating other administrative systems
- Open and occasionally close the office
- Ensure a tidy and professional environment daily
- Other duties as required to support smooth office operations
Experience & Skills
- Entry level - 2 years experience in an reception and administrative or role working with the public preferably within a professional services environment
- Strong organizational and administrative skills, with excellent attention to detail
- Professional, warm, and confident communication skills (written and verbal)
- Strong phone etiquette and ability to welcome clients and Members with professionalism and joy
- Computer Proficiency includiing with MS Office (Word, Outlook) and comfort working with digital filing systems (SharePoint experience is an asset)
- Ability to prioritize multiple tasks, anticipate needs, and keep the office running smoothly
- Creativity - experience with Canva and social media and asset
- A calm, reliable presence who enjoys reception and front desk work and takes pride in doing it well

The main law office's main practice area includes civil litigation, personal injury, criminal defence and notary services, supported by an organized and collaborative administrative team.
