Centretown Parents’ Cooperative Daycare is a licensed, non-profit, co-operative Parents' childcare centre that respects our educators as knowledgeable, reflective, and resourceful professionals. As a member of our co-op, you will collaborate closely with staff and a volunteer Board of Directors, contributing to democratic decision-making and shaping day-to-day operations. The Program Coordinator oversees the center's daily operations, financial health, regulatory compliance, and pedagogical leadership. This role ensures high-quality, inclusive childcare that meets all Ministry of Education regulations. The coordinator manages budgets, leads staff relations, acts as a liaison to the Board and parent community, and coordinates closely with the Coordinator at our Centennial Public School satellite location.
Core Duties and Responsibilities
Operations, Regulatory Compliance, and Financial Management
The successful candidate ensures strict compliance with the Child Care and Early Years Act (CCEYA), regional health policies, and ministry standards. Operational duties include preparing annual provincial licensing packages, managing actions via the Ministry’s OneKey / Child Care Licensing System (CCLS), overseeing full enrollment workflows, monitoring the centralized waiting list, managing intake files, submitting Serious Occurrences, and updating corporate records annually. Financially, the Coordinator develops, monitors, and adjusts annual budgets while managing day-to-day accounts payable, accounts receivable, parent invoicing, fee collections, e-transfers, and banking. In partnership with the agency bookkeeper, the coordinator maintains accurate records, tracks expenditures, files non-profit GST/HST and property tax rebates, prepares year-end financial schedules, presents reports to the corporate Auditor, and implements audit recommendations. Furthermore, they coordinate bi-weekly payroll submissions through Ceridian, calculate Wage Enhancement Grants (WEG), and manage Canada Life benefits and MSPP pension registrations.
Personnel Leadership, Board Governance, and Community Relations
The Program Coordinator provides strong pedagogical and operational leadership to support an innovative, inclusive learning environment. Responsibilities include demonstrating a working knowledge of the CUPE collective agreement, supporting the Hiring Committee, managing personnel records, and coordinating onboarding, policy orientations, and performance evaluations for permanent, probationary, and supply staff. To maintain a healthy workplace culture, the coordinator facilitates staff and room meetings, encourages collaborative decision-making, drives professional performance development, and supports staff through conflict resolution. Acting as a management liaison, the coordinator collaborates with the Board President to prepare agendas, present operational reports, and communicate financial and legal risks, including insurance and liability. They assist with strategic long term planning by delivering monthly health, safety, and workplace inspection reports to the Board. Additionally, they build trusting, respectful relationships with families.
Health, Safety, and Community Advocacy
The coordinator ensures strict adherence to public health sanitation, hygiene, and emergency standards across the programs. This includes annual yard check, directing monthly fire drills, coordinating fire chief safety inspections, and filing WSIB forms. The coordinator is responsible for guiding employees in occupational health and safety protocols, safe material handling, and musculoskeletal injury (MSI) prevention.
What You Bring
Qualifications: Registered Early Childhood Educator (RECE) in good standing with the College of Early Childhood Educators (CECE).
Experience: Minimum of 2–3 years of direct experience working in a licensed childcare setting, with at least 1 year in a supervisory or leadership role.
Knowledge: Deep familiarity with the Child Care and Early Years Act (CCEYA) and Ontario’s pedagogy for the early years.
Certifications: Valid Standard First Aid & CPR Level C, a clear Vulnerable Sector Check (VSC), and up-to-date immunization records.
Skills: Exceptional communication and conflict-resolution skills. Strong organizational tech habits (experience with childcare management apps/webpage, such as digibot, is a major asset).
Language: Fluency in English is required; bilingualism (English/French) is a highly valued asset.
