We are currently seeking a Director of Human Resources & Corporate Services to lead and oversee the corporate and human resources functions of the Centre.
About the role
Working under the direction of the Executive Director, the Director Human Resources & Corporate Services is accountable for the planning, development, and day-to-day management of the Centre’s human resources and corporate functions, ensuring the effective and efficient operation of the Robert Smart Centre to support the Centre’s continued growth and success.
As a key member of the Roberts/Smart Centre senior management team, you will also contribute to the strategic planning and overall direction of the Centre, ensuring operational frameworks are aligned with the Centre’s long-term goals.
To be successful in this role, you will have extensive experience in operational leadership, human resources, facilities and asset management and organizational development alongside a solid understanding of change management and process improvement. A strong foundation in leadership, with responsibility for overseeing corporate operations, and the ability to direct and mentor staff across various departments, is essential to the success of this role.

Primary Responsibilities:
- Strategic Human Resources Initiatives & Leadership:
- Possess knowledge of the relevant legislation, including but not limited to the Employment Standards Act, Labour Relations Act, Occupational Health and Safety Act, Ontario Human Rights Code, and the Workplace Safety & Insurance Act.
- Led, develop and oversee a comprehensive talent management strategy, including compensation, benefits, performance evaluations, and recruiting, retention and employee engagement initiatives.
- Oversee and direct all activities for human resources including recruitment, retention, engagement, labour relations, etc.
- Direct all negotiations with the local union; provide consultation regarding standard employment practices.
- Track and analyze industry trends, ensuring the Centre remains competitive in attracting talent compared to similar organizations.
- Oversee the hiring and onboarding process, ensuring a smooth and effective experience for new employees.
- Collaborate with management to address employee concerns, promoting a positive, mission-aligned organizational culture.
- Foster a culture of continuous learning by implementing training and development programs to enhance employee skills and competencies.
- Monitor the effectiveness of HR initiatives, recommending improvements based on performance metrics and employee feedback.
2. Facilities & Asset Management
· Establish and implement a comprehensive property management plan for all owned or rented physical plants, ensuring regular maintenance and timely identification of issues.
· Develop and maintain a security plan with proper monitoring systems to ensure a safe working or living environment for all centre properties.
· Coordinate the development of renovation and repair plans, ensuring they undergo appropriate consultation and receive necessary approvals.
· Supervise property maintenance operations and oversee all renovation and repair projects from start to finish.
· Implement long-term strategies for facility improvements, maintenance, and safety compliance, with a focus on enhancing accessibility and fostering a healing atmosphere in alignment with the Centre’s mental health mission.
· Oversee asset management processes, ensuring alignment with operational needs, clinical service delivery and regulatory standards.
· Coordinate with external contractors and vendors for facility services and capital projects, ensuring that all improvements and repairs are completed in a timely, cost-effective manner.
· Proactively manage risk by ensuring that the Centre’s physical infrastructure adheres to health and safety regulations, infection control protocols, and any other relevant healthcare compliance standards.
· Engage in sustainability initiatives, ensuring that facilities are energy-efficient and environmentally responsible, contributing to both operational efficiency and the well-being of the community.
3. Strategic Leadership & Organizational Development
- Maintain professional conduct, confidentiality and ethical standards.
- Demonstrate good judgment and effective decision-making skills.
- Demonstrate positive interpersonal, problem-solving and conflict resolution skills and ability to maintain effective ongoing relationships with peers, staff members, supervisors and managers.
- Participate with the Senior Leadership Team in recruitment, hiring, retention to ensure that processes are consistent with the Centre’s policies and procedures.
- Ensure the identification of program and individual staff learning needs, and that training opportunities are provided as required to increase staff knowledge and expertise.
- Provide coaching, direction and support to direct reports and ensure that they meet performance standards or have an improvement plan in place to meet program and service objectives.
- Manage external supplier contracts and support services, ensuring strong relationships with financial and technical contractors.
- Support long-term planning initiatives, including contributing to corporate strategy, resource management, and talent development.
4. Risk Management/Mitigation
- Develop and oversee quality assurance and risk management policies and programs.
- Identify, assess, evaluate risk management activities and control risks ensuring well-being of staff and clients.
- Anticipate risks to lessen exposure ensuring appropriate and adequate coverage.
- Demonstrate leadership in reducing risk by actively assisting with the complaint process and follow up.
- Evaluate risk management practices ensuring ongoing, systematic process of identifying, assessing and prioritizing risks.
- Ensures all contentious issues are communicated to the Executive Director
5. Direct Information System Management
- Act in the role of the Roberts Smart Centre Chief Privacy Officer and Chief Information Officer.
- Ensure that the telephone and voice mail systems are adequate and well maintained
- Oversee the development of and implementation plan for computer technology to support the Centre’s administrative and clinical data activities.
- Oversee the organization’s business technology, systems, and facilities, developing solutions to enhance efficiency.
- Compliance and Policy Development:
- Ensure human resources policies and practices are compliant with applicable legislation and regulations.
- Develop performance management systems to support employee growth and organizational objectives.
- Promote diversity, equity, and inclusion across all levels of the organization, fostering an inclusive workplace environment.
- Employee Relations and Talent Development:
- Serve as the staff lead for the board HR committee, managing documentation and supporting the committee’s activities.
- Implement strategies for performance management and employee engagement, supporting continuous professional development.
- Act as a resource for conflict resolution, using strong interpersonal skills to address employee relations issues.
- Legal and Regulatory Oversight:
- Ensure compliance with Canadian labor laws and regulations in all HR activities.
- Maintain knowledge of HR principles and practices, especially within non-profit and public sector environments.
- Special Projects and Leadership:
- Accept leadership roles on special projects assigned by the Executive Director, contributing to the overall growth and success of the Centre.
- Support the Executive Director and Board in other duties as required, fostering a collaborative and productive work environment
- To perform these and other duties as assigned.
Requirements of the Position:
A. Education and Training
- A university degree in Business, Human Resources (or related discipline) from a recognized and accredited educational institution.
- Minimum of 5 years of management experience that includes responsibility for corporate services, operations, human resources and facility management functions in an organization, preferably at a charity or non-profit organization.
- Significant progressive experience working within collective agreements including managing the collective bargaining process.
- Significant experience working within relevant legislation, including but not limited to the Employment Standards Act, Labour Relations Act, Occupational Health and Safety Act, Ontario Human Rights Code, and the Workplace Safety & Insurance Act.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint).
- Working knowledge of current industry trends in recruitment, compensation practices, training and professional development, and employee relations.
- Strong project management skills, including developing and managing workplans, tracking and monitoring tasks and deadlines, and self-managing tasks and workflow.
- Advanced proficiency using project management software and tools.
- Experience with cross-functional IT and systems coordination, enhancement and integration across an organization.
- Ability to communicate clearly and directly both in English and French.
B. Key Skills and Expertise:

· Proven track record in managing operations within a non-profit, mental health, or community services setting.
· Extensive experience leading a portfolio of corporate services functions and overseeing program/project management.
· Demonstrable knowledge of legal and regulatory aspects of corporate services, HR, health and safety, and charity governance.

· Proven experience leading strategic planning activities and translating strategies into operational plans.

· Proficient in analyzing operational data to inform decision-making and track key performance indicators.

· Strong strategic thinking, political acumen, diplomacy, discretion, and good judgment in handling sensitive matters.
5. Technical and IT Proficiency:
· Skilled in various IT packages, including Microsoft Office, with the ability to manage data, generate reports, and analyze trends.
