Admissions Coordinator, LATAM
Reporting to the Director of Admissions LATAM, the Admissions Coordinator plays a critical support role within the LATAM Admissions team. This is a proactive, results-driven position responsible for managing student inquiries from first contact through to arrival and enrollment, identifying opportunities to strengthen the pipeline, and supporting Admissions Advisors across all stages of the recruitment cycle.
What We're Looking For
The successful candidate is a self-starter with experience in sales and client communications. They are highly organized, detail-oriented, and energized by targets, comfortable managing multiple priorities and tracking their own results in a fast-paced environment. Fluency in Spanish is required. The ideal candidate brings cross-cultural sensitivity and experience working with international students or partners, along with proficiency in CRM platforms and student information systems.
Key Responsibilities:
- Work closely with the Latin American Admission team, to generate qualify leads from local schools and agencies in Canada working with the Latin America market.
- Qualify potential full-time enrollments, via initial discussions, to ensure educational fit, timing and prospects’ ability to afford the total educational investment.
- Daily responsibilities to schedule face to face and phone appointment bookings with prospective students with Admissions Advisors.
- Provide prospects with background information about VFS to ensure they are well prepared to have a productive conversation with their Admissions Advisor.
- Attend high-yield recruiting events, as required to represent VFS and enter de lead into CRM and immediately handover all the leads to the appropriate Latin America office.
- Look for and identify opportunities to develop and create leads in the region by way of attending tradeshows and working with other educational institutions where potential students exist.
- Support Latin America Admissions Initiatives and Enrolment Promotions (e.g. scholarship drives, etc.).
- Represent VFS at industry functions and events when appropriate.
- Identify and problem-solve any additional student services issues.
- Constructive and positive manner.
- Manages new Canadian agents application submissions and agent renewals, agendas, school articulation requests, invoices, commission claims, and takes meeting minutes, as required.
- Maintains calendars, schedules travel arrangements, as needed; schedules internal/external meetings, and sets up TEAMS conference meetings. (workshops or Summer in Vancouver) faculty visit planning.
- Provide campus tours, as required.
- After acceptance, accurately enter student personal data, class data, charges and payments into the appropriate system. Accurately scan and upload file contents related to the application. Generate contracts and associated acceptance documents for regional Admissions Advisor and, if needed, assist with contacting students regarding acceptance.
- Actively manage the list of applied and accepted students to proactively communicate any issues such as financial visas and housing to the regional advisor and or the appropriate person.
- Develop a relationship of trust with students, utilizing superior customer service skills, including regular interactions to seek building strong relationship
- Follow up on overdue charges until paid, consulting with Admissions Advisors and/or the Admissions Supervisor if needed.
- Regularly go through cancelled list to see if cancelled students can be re-engaged and re-enrolled.
- Attend Orientation Day to serve as a greeter and to man the various informational booths (payments, study permits, etc.).
- Attend weekly Admissions meetings to review enrollment, maintain a sense of team, and plan activities for achieving enrollment targets.
- Other duties as assigned by the Director of Admissions LATAM.

Skills, Experience, and Education
- Post secondary education with a minimum of two years of experience in a sales or marketing environment
- Fluency in Spanish required
- Proficiency in CRM platforms, databases, and Excel
- Strong written and interpersonal communication skills with excellent attention to detail
- Highly organized and goal-oriented with the ability to work independently and exercise good judgment
- Comfortable working under pressure and managing competing priorities in a fast-paced environment
- Professional, discreet, and confident representing the organization externally

Pay: $45,000.00-$48,000.00 per year
