Summary of Duties
Provides support primarily to the Managers and Coordinators. This individual will provide customer service-oriented support across the entire geographical area that is serviced by Sunnybrook Regional Base Hospital Program. Ensure that all documentation relating to education and certification is maintained as per policy:
- Prepares required documentation for paramedic certification (OSCE) events.
- Maintains data related to paramedic and education databases.
- Reviews paramedic new hire documentation and follows up with referral sources and/or others to obtain missing information within the defined timelines.
- Meetings: schedule and coordinate meetings, take minutes and prepare all associated documentation.
- Completes data entry in relevant information systems as required.
- Maintains accurate paramedic records.
- Responds to enquiries, telephone calls, and voicemail messages in a timely manner.
- Filing/sorting/faxing reports as required.
- Other duties as required.
Qualifications/Skills:
- Requires successful completion of a one (1) year Secretarial program/diploma at the community college level
- Minimum of two (2) years related practical experience or the equivalent combination of education and experience
- Prior experience as a secretary in a fast-paced setting with students/professionals.
- Working knowledge of a learning management system;
- Working knowledge of Microsoft365
- Typing 40 net w.p.m. with maximum 5% error rate for data entry

- Demonstrated excellent interpersonal, verbal and written communication skills
- Strong organizational skills in order to meet deadlines
- Ability to work efficiently, independently and collaboratively in a fast paced, flexible team environment
- Ability to adapt to change and implement plans and processes to meet the evolving needs of the program.
