We are seeking an experienced Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to senior Portfolio Mangers by processing various documents, analizyng data, managing calendars, organizing meetings and events, and providing general office support. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to prioritize tasks in a fast-paced environment.
RESPONSIBILITIES
- Administrative duties, process mail/courier, filling, photocopying, faxing and scanning
- Arrange/schedule appointments, answer calls, greet and meet clients and prospects
- Respond to all client queries by phone, email or in person, in a timely and professional manner.
- Prepare and process client documentation including detailed review, submission and follow up with head office and/or clients.
- Process financial transactions e.g. RRSP, TFSA, RESP withdrawals/deposits.
- Management of client database, maintaining compliance standards in client dealings and client files, privacy legislation etc.
- Assist in the coordination of client appreciation events, attend these events which are outside of general office hours twice per year.
- Marketing and business development activities including monthly email campaign coordination and management.
- Design, implement and maintain basic social media marketing.
- Website management using WordPress including posting of event photos and monthly newsletters.
QUALIFICATIONS
- Minimum of 2 years of experience in an administrative and/or marketing capacity
- Exceptional client service skills
- Enjoy communication with clients on phone, in person and video conferencing
SKILLS AND ABILITIES
- Highly detailed, organized and process oriented
- Adept in Technology, e.g. MS Word, Excel, Outlook, WordPress, Constant Contact
- Self-motivated, driven and constantly learning
- Superior customer service skills, excellent verbal and written communication skills
- Strong analytical and problem-solving abilities
- Detail-oriented, resourceful & adaptable
- Strategic, data driven social media abilities

Pay: $55,000.00-$70,000.00 per year
