We are seeking a motivated Entry-Level Office Administrative Coordinator & Client Services Coordinator to join our team in a dynamic, fast-paced environment. This full-time or part-time role offers an excellent opportunity for individuals interested in developing their administrative and customer service skills. The ideal candidate will be detail-oriented, organized, and proficient in various office software and communication systems. Responsibilities include managing front desk operations, supporting data entry and filing tasks, and providing exceptional client support to ensure smooth office functioning. Previous experience in medical or dental office settings is a plus but not required; training will be provided to the right candidate.
Responsibilities
- Greet clients and visitors professionally at the front desk, maintaining excellent phone etiquette on multi-line phone systems
- Manage appointment scheduling, confirmations, and cancellations efficiently
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized filing systems both digitally and physically for easy retrieval of documents
- Support bookkeeping and basic financial recordkeeping using QuickBooks or similar software
- Assist with administrative tasks such as proofreading correspondence, preparing reports, and managing calendars
- Handle customer inquiries via phone, email, or in person with professionalism and courtesy
- Support medical or dental office operations by managing patient records, insurance documentation, and other clerical duties
- Ensure the office remains organized, clean, and well-stocked with supplies
Skills
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with data entry processes
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong customer service skills with professional phone etiquette and support capabilities
- Attention to detail for proofreading documents and maintaining accurate records
- Clerical experience including filing, front desk operations, and managing multi-line phone systems
- Ability to type quickly and accurately for efficient data entry and correspondence
- Previous medical or dental office experience is advantageous but not mandatory; willingness to learn is essential
