Our Office Hours
- Monday: 8:00 a.m. – 5:00 p.m.
- Tuesday: 9:00 a.m. – 6:00 p.m.
- Wednesday: 8:00 a.m. – 5:00 p.m.
- Thursday: 8:00 a.m. – 5:00 p.m.
- Friday: 8:00 a.m. – 1:00 p.m. (By Appointment Only)
- Saturday & Sunday: Closed
No weekends and no late evenings. About the Role
This is more than a traditional reception position. You will play an important role in creating an exceptional patient experience from the first phone call through treatment completion.You will help manage scheduling, patient accounts, insurance, treatment coordination and follow-up while ensuring patients feel welcomed, informed and confident in their care.We are looking for someone who takes initiative, follows through and takes ownership of their responsibilities rather than waiting to be told what needs to be done.
Key Responsibilities
- Provide a warm, professional experience for patients by phone, email and in person
- Schedule appointments and actively help maintain a productive, full schedule
- Welcome and onboard new patients
- Check patients in and out and ensure accounts are properly managed
- Review treatment plans, fees and financial arrangements with patients
- Send and follow up on insurance estimates and predeterminations
- Follow up with patients regarding outstanding and unscheduled treatment
- Manage accounts receivable and patient payment arrangements
- Respond to patient calls, messages and emails promptly
- Communicate patient questions, concerns and scheduling needs with the clinical team
- Utilize dental software and technology for scheduling, communication and patient management
- Track relevant practice KPIs and administrative follow-up
- Support the Office Manager and clinical team with day-to-day practice operations
- Assist with other administrative responsibilities as required

Qualifications
- 1–2+ years of dental administration, reception or treatment coordination experience preferred
- Previous dental office experience is strongly preferred
- Strong written and verbal communication skills
- Excellent organizational and time-management skills
- Strong computer and technology skills
- Experience with dental practice management software is an asset
- Experience with insurance, predeterminations, treatment coordination and accounts receivable is an asset
- Ability to work independently while contributing to a collaborative team
