Position Summary
The Materials & Inventory Coordinator plays a critical role in supporting daily operations by ensuring materials, components, and equipment are accurately received, tracked, stored, kitted, and shipped.
This position is responsible for maintaining inventory accuracy, supporting technicians and fabrication personnel, processing receiving and shipping documentation, and ensuring materials are available when needed to support projects and customer requirements.
The ideal candidate is highly organized, detail-oriented, and takes pride in maintaining a well-run operation.
Key Responsibilities
Receiving & Inspection
- Receive incoming materials, components, and equipment
- Verify shipments against purchase orders and packing slips
- Inspect shipments for damage, shortages, or discrepancies
- Report receiving issues promptly to management
- Ensure all receiving documentation is complete and accurate
Inventory Management
- Maintain accurate inventory records and system entries
- Record supplier information, purchase order numbers, part numbers, quantities, and receipt dates
- Update inventory databases and tracking systems
- Perform cycle counts and inventory audits
- Assist with inventory reconciliation and discrepancy investigations
Warehouse Operations
- Store materials in designated warehouse locations
- Ensure materials are clearly identified and properly labeled
- Maintain organized storage areas and inventory locations
- Support inventory traceability and accountability requirements
- Maintain a clean, safe, and efficient warehouse environment
Kitting & Production Support
- Pick materials based on work orders and project requirements
- Assemble kits for technicians, mechanics, and fabrication personnel
- Verify kit accuracy before release
- Record inventory consumption and usage
- Support production readiness through timely material availability
Shipping & Logistics
- Prepare outbound shipments and shipping documentation
- Package materials and equipment safely and securely
- Coordinate shipments with transportation providers and couriers
- Track outgoing shipments and maintain shipping records
- Ensure all shipping documentation is submitted accurately
Documentation & Administrative Support
- Process and submit receiving and shipping documentation to Accounting
- Maintain organized records of inventory transactions
- Support inventory reporting and operational documentation
- Assist with continuous improvement initiatives and process development
Qualifications
Required
- Minimum 3 years of experience in inventory control, warehouse operations, logistics, shipping & receiving, or materials management
- Strong computer and data entry skills
- Experience using inventory management systems, ERP systems, or warehouse software
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to work independently and prioritize multiple tasks
- Valid driver's license
- Forklift certification
Preferred
- Experience supporting maintenance, manufacturing, automotive, aerospace, defence, or heavy equipment operations
- Experience with inventory audits and cycle counting
- Experience supporting work order and kitting processes
- Knowledge of inventory control best practices
- Controlled Goods Program eligibility
