Catering Event Coordinator
Position Summary
Our Catering Event Coordinators serve as the critical link between the sales process and flawless event execution. Working closely with the Catering Sales & Event Specialists, this role ensures a seamless transition from signed contract to successful event delivery. Through proactive planning, operational coordination, and hands-on event leadership, the Catering Event Coordinator helps deliver exceptional client experiences that exceed expectations.
The Catering Event Coordinator role is ideal for someone who thrives in both client service, and logistics. It combines event planning, catering operations, and execution while collaborating with multiple departments to ensure every event is delivered with excellence.
Hours: This position(s) may be offered as either part-time or full-time, depending on business needs, event schedules, and the qualifications and availability of the successful candidate.
Key Responsibilities
Sales-to-Operations Transition
- Partner with the Catering Sales & Event Specialists after contracts are finalized to review event details, client expectations, and operational requirements.
- Participate in event handoff meetings (virtual/remotely or in person) to gain a complete understanding of menus, timelines, room setups, special requests, staffing requirements, and event logistics.
- Identify potential event operational challenges and proactively develop solutions before event day.
Event Day Execution
- Partner with the Catering Sales & Event Specialists during on-site event execution to oversee setup, service, and event breakdown.
- Lead event operations when a Sales & Event Specialist is not present, ensuring all client expectations are met.
- Ensure the guest experience reflects everything promised during the sales process.
- Serve as an operational leader by making timely decisions and resolving issues professionally and efficiently.
- Coordinate communication between the kitchen, service teams, vendors, venue staff, and event hosts.
- Monitor timelines and adjust operations as needed to keep events running smoothly.
- Maintain a visible, professional presence throughout each event while anticipating client and guest needs.
Post-Event Responsibilities
- Participate in post-event debrief meetings with the Sales Team to review successes, challenges, and opportunities for continuous improvement.
- Complete post-event operational reports and documentation.
- Support client follow-up, feedback collection, and continuous quality improvement initiatives.
- Share operational insights to improve future event planning and execution.
Qualifications
- Minimum of 2 years' experience in catering, banquet operations, hospitality, or event planning.
- Proven experience coordinating events from planning through execution.
- Strong understanding of food and beverage service, catering operations, and event logistics.
- Excellent organizational, project management, and time management skills.
- Demonstrated ability to manage multiple events simultaneously while maintaining exceptional attention to detail.
- Strong communication and interpersonal skills with a collaborative, team-oriented approach.
- Ability to remain calm, organized, and solution-focused in fast-paced environments.
- Flexibility to work evenings, weekends, and holidays based on event schedules.
