The Opportunity
Sundance College is seeking a Compliance Assistant at our office in Calgary, Alberta, to support the Compliance and loan repayment department with day-to-day regulatory and student file compliance across the organization’s campuses across the provinces. This role will assist with student file reviews, regulatory submissions, provincial student aid requirements, registrar documentation, audit preparation, compliance tracking, and records management.
The ideal candidate is highly detail-oriented, organized, and experienced in reviewing student records and managing student compliance-related documentation. The successful candidate will be comfortable working with multiple deadlines and regulatory requirements across different provinces and will play an important role in ensuring the college remains compliant, audit-ready, and well organized.
Key Responsibilities
Student File Compliance & Review:
- Review student files regularly to ensure required documentation is complete, accurate, current, and compliant with institutional and regulatory requirements.
- Identify missing, incomplete, inconsistent, or incorrect documentation and follow up with the appropriate departments.
- Assist with internal compliance audits and prepare student files and supporting documentation for external regulatory reviews.
- Maintain records of file review findings, deficiencies, follow-ups, and corrective actions.
- Work closely with Compliance Manager, Registrar, Admissions, Student Finance, and Campus teams to resolve documentation and compliance issues.
Regulatory Compliance:
- Assist the Compliance Manager in implementing regulatory requirements applicable to private career colleges across multiple Canadian provinces.
- Support the preparation and submission of regulatory reports, documentation, renewals, and other required submissions.
- Maintain compliance calendars, trackers, submission records, and regulatory documentation.
- Monitor regulatory deadlines and follow up on outstanding requirements to ensure timely completion.
- Assist with contacting graduates in accordance with provincial student aid policies to provide information and guidance on student loan repayment requirements.
- Records Management:
- Support compliance teams with audits of enrolment, attendance, withdrawal, graduation, transcript, and other student records.
- Review registrar documentation for completeness, accuracy, and compliance with applicable requirements.
- Assist with maintaining consistent record-keeping practices across campuses.
- Support the organization, digitization, indexing, and archiving of student records.
- Ensure documents are properly organized, securely maintained, and readily retrievable when required.
Audit & Compliance Support:
- Assist the Compliance Manager with preparation for regulatory audits, and inspections.
- Gather, organize, and validate documentation requested by regulators and internal stakeholders.
- Track audit findings, action items, corrective measures, and completion deadlines.
- Maintain organized compliance evidence and documentation to support audit readiness.
- Assist with special compliance projects, reviews, and investigations as required regarding student cases.
Qualifications & Experience
- Post-secondary education in Business Administration, Compliance, Education Administration, Regulatory Affairs, or a related field.
- 2–4 years of experience in compliance, registrar services, student records, student finance, education administration, or a related field.
- Experience working with a private career college, post-secondary institution, student aid environment, or regulated education organization is an asset.
- Strong experience in reviewing and managing student records and supporting documentation.
- Knowledge of provincial student aid requirements and private career college regulatory requirements is an asset.
- Strong organizational and task-management skills with the ability to manage multiple deadlines.
- Exceptional attention to detail and accuracy.
- Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams.
- Ability to maintain confidentiality when handling sensitive student and institutional information.
- Experience with student information systems, regulatory portals, and electronic document management systems is an asset.

Pay: $17.00-$19.00 per hour
