Job Overview
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will be proactive, resourceful, and able to handle multiple tasks efficiently.
Responsibilities
- Field telephone calls, set up calls, greet visitors, order office/kitchen supplies and catering
- Oversee office maintenance and organization; work with building management as needed
- Maintain primary administration of electronic document filing system, archiving services, associated file maintenance and management of off-site file storage
- Proactively contribute to the firm’s administrative process, including making administrative procedural improvements and corrective actions as identified
- Support employee day-to-day inquiries and requests
- Booking meetings and travel arrangements for team members
- Handle and distribute all mail/arranging couriers
- Data entry, record keeping, and file organization
- Perform other clerical receptionist duties such as filing, photocopying and printing
- Maintain office security by monitoring logbook and issuing visitor card
- All ancillary duties necessary to ensure smooth daily office operations
Experience
- At least 1 to 2 years’ administrative experience, with priority given to experience within the financial services industry
- Proficiency with MS Outlook, Excel and Word and experience with a CRM database
- Excellent communication skills in English (both written and verbal), with exceptional attention to detail
- A self-starter with the ability to take initiative and think critically to seek out information and solutions independently
- Experience working independently, as well as in partnership with other team members
- The ability to work in a dynamic and fast paced, entrepreneurial environment requiring strong organization, time management and prioritization skills with the confidence to adapt to change as necessary
Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
