Your role
As Executive Assistant, you will primarily assist the Executive Director of Regional Media (French Services) in organizing and coordinating his activities.
You will also provide daily support:
General Manager, Marketing and Communications (French Services).
Senior Director, Strategic Business Planning, Regional Media.
Cabinet Coordinator, Senior Vice President, French Services.
If you have a strong respect for confidentiality, are well organized and have broad experience working with senior executives, then this opportunity is for you.
Key tasks:
Manage executive agendas based on priorities.
Answer phone calls and manage emails, including messages of a sensitive nature.
Arrange meetings and conference calls: prepare agendas, draft minutes and produce various documents and presentations.
Plan and coordinate travel, regional tours and meetings held off-site (such as association forums).
Prepare and check the expense accounts of direct reports, track invoices and create purchase orders for supplies.
Establish and maintain good working relationships with the organization’s various components, leadership teams and other internal/external contacts.
We are looking for a candidate with the following:
Community college diploma or equivalent
Five (5) or more years’ wide-ranging executive-level administrative support experience
Good knowledge of MS Office (Word, Excel and PowerPoint) and Google Workspace
Excellent organization skills; ability to multitask and work under tight deadlines
Excellent French skills
Ability to show discretion and maintain confidentiality
Ability to be proactive and communicate diplomatically
Experience managing relationships remotely an asset
Good interpersonal skills
Keen sense of initiative and sophisticated judgment for making day-to-day decisions
Leadership and teamwork skills
Good knowledge of CBC/Radio-Canada, its mandate and its policies
Knowledge of online tools (search engines, portals, etc.)
Willingness to work beyond normal office hours on occasion
Knowledge of functional English, both oral and written
