Job Summary:
The Fuel Order Dispatcher is responsible for managing and coordinating the procurement, scheduling, and distribution of fuel to ensure uninterrupted operations. This role involves close communication with suppliers, transporters, and internal departments to optimize fuel delivery schedules, monitor inventory levels, and maintain compliance with safety and environmental regulations.
Key Responsibilities:
· Coordinate and schedule daily fuel deliveries to customers.
· Monitor fuel inventory levels and forecast future needs to prevent shortages or overstock.
· Liaise with fuel suppliers, carriers, and third-party logistics providers to ensure timely delivery.

· Plan orders based on sales and inventory data
· Monitor delivery schedules for timely deliveries
- Logistics & Scheduling
- Develop and maintain efficient routing and delivery schedules.
- Manage driver dispatch and coordinate refueling operations.
- Inventory Control & Reporting
- Maintain accurate records of fuel receipts, consumption, and stock levels.
- Reconcile daily fuel usage and resolve discrepancies.
- Generate and submit fuel usage and cost reports to management.
o Create daily price lists for customers and internal stakeholders
o Maintain accurate order information in order management system
o Reconcile inventory receipts with purchase orders
- Compliance & Safety
- Ensure all fuel handling, storage, and transportation comply with environmental, safety, and hazardous materials regulations.
- Maintain Material Safety Data Sheets (MSDS) and ensure all documentation is up to date.
- Conduct regular inspections and coordinate with safety teams to prevent spills or contamination.
- Communication & Coordination
- Act as the primary contact for fuel-related inquiries and emergencies.
- Communicate with operations, maintenance, and procurement teams regarding fuel needs and issues.
- Support audits and regulatory inspections related to fuel operations
· Ensure vendor pricing accuracy and follow up
· Collaborate with invoicing team when issues arise
· Communicate with management team to inform of ongoing challenges
Qualifications & Skills:
Education:
- Bachelor’s degree in supply chain management, Logistics, Business Administration, or related field (preferred).
- Equivalent work experience may be considered.
Experience:
- 2–5 years of experience in logistics, transportation, or fuel management (depending on the level of the role).
Technical Skills:
- Proficiency in logistics or fleet management software
- Strong MS Excel and database management skills.
- Understanding of fuel types, quality standards, and handling procedures.
Soft Skills:
· Ability to react quickly and efficiently
· Ability to work independently and prepare documentation for coworkers
· Strong mathematical skills
· Experience using Outlook, Teams, Excel and ability to learn industry related software
- Excellent organizational and multitasking abilities.

- Attention to detail and accuracy.
- Ability to work under pressure and manage multiple priorities.
Working Conditions:
- Work may include shifts, weekends, or on-call hours depending on operational needs.
