At Ace Wellness Clinic, we’re looking for an Office Manager to help run our clinic by being the front face of our clinic. We're looking for someone who is passionate about healthcare and well-being of others, and someome who wants to exceed in their role and be our clinic manager.
You will perform a variety of office duties such as answering the phone, scheduling and adjusting appointments, corresponding with insurers and therapists, and using your best smile to greet our patients. You will also be required to do some laundry and tidying up around the clinic. You will also be responsible for scheduling and other administrative duties to ensure smooth operations of our multi-disciplinary clinic.
Being highly organized, reliable, and detail-oriented is essential in this role. But we'd especially love it if you are patient and understanding. And since you will be communicating with many people, excellent communication skills are required.
Ultimately, you should be able to handle clinic, patient, and medical professionals' correspondence and support office activities efficiently to allow our clinic to operate at full capacity.
Responsibilities:
- Manage daily office operations, including scheduling appointments and coordinating patient flow.
- Maintain accurate patient records and files, ensuring confidentiality and compliance with regulations.
- Handle phone inquiries with professionalism and courtesy, addressing patient questions and concerns effectively.
- Greet, schedule, and screen patients in-person or via telephone/email
- Communicate with patients, ICBC, WSBC, Insurers and other 3rd parties in a professional manner
- Utilize JaneApp, Microsoft Office Word/Excel, and other software to schedule, bill, and organize inventory and payroll.
- Correspond with therapists, patients, and other medical professionals in a professional and timely manner
- Maintain a clean, hygienic, and organized work environment at all times
- Laundry and overall maintenance of facility
- Provide support to client care coordinators/receptionists by training new staff members on office procedures and protocols.
- Ensure the office is well-organized and equipped with necessary supplies by managing inventory levels.
- Collaborate with owners in implementing office policies and procedures to improve efficiency and productivity.
Experience
- Customer service or MOA experience required (Min. 1 year)
- Familiarity with JaneApp, MS Office, and Gmail preferred
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Demonstrated customer service experience with a focus on building positive relationships.
- Effective communication skills, both verbal and written, with strong phone etiquette.
- Familiarity with rehabilitation setting and practices is a plus but not required.
