Reporting to the Manager, Planning and Operations, Krembil Research Institute, this position exercises judgment and independence to provide complex administrative support services to scientists, staff and trainees. Responsibilities include processing new hires and terminations, timekeeping, monitoring / reconciling / setting up cost centres, reconciling procurement cards, completing expense reimbursements, working with Division Heads to plan meetings, minute taking, supporting graduate courses, supporting Institute events such as the Institute seminar series and the annual Research Day. The successful applicant will also work closely with Institute administrative staff to obtain executive signatures, liaise with Research Solutions and Services Departments to resolve issues and to complete other duties as assigned.
Qualifications:
- At minimum, Community College Diploma in General or Medical Office Administration/Business/Health Management or equivalent
- At minimum, four (4) years related administrative support experience required
- Ability to maintain confidentiality
- Excellent organizational and time management skills required
- Excellent interpersonal and customer service skills
- Excellent verbal and written communications skills required
- Ability to work well under pressure and use good judgment in assessing and responding to difficult situations
- Ability to produce detail-oriented, accurate work – ability to establish, maintain, and adhere to priorities
- Proficient in Microsoft Office including Outlook, Word, Power Point and Excel
- Demonstrated ability to work independently but also function as a productive team member
