Responsibilities:
- Ensure the smooth flow of overall workplace operations following the guide from the upper management team
- Coordinate and maintain officer operations procedure
- Maintain records related to company assets, including office and warehouse supplies, and place orders for different branches as needed
- Organize and maintain administrative documents systematically, including statistical employee needs, invoices, receipts, etc.
- Regularly update and manage files, ensuring easy accessibility
- Undertake any other duties assigned by the manager, demonstrating flexibility and adaptability
- Greet visitors and handle phone calls and email inquiries professionally as needed
- Participate in the annual budget planning process, assisting in the forecasting of operational expenses and revenue
- Submit and reconcile expense reports and invoices promptly to the accounting department
- Acquire and compare quotations from different vendors, negotiating better rates with suppliers, finding more cost-effective solutions for office operations, and reducing unnecessary expenditures
- Schedule and oversee maintenance of office equipment, coordinate repairs and service appointments
- Arrange travel and accommodation for the CEO
Requirements:
- A college diploma or higher in Business Administration, accounting, economics, or another related field
- Proven recent administrative work experience in the office for at least 2 years
- Possesses fluent written and oral communication skills in English; Mandarin communication skills will be an asset
- Exhibits excellent PC skills
- Functions as a great team player with strong interpersonal skills
- Displays good time management and the ability to prioritize work effectively
- Possesses knowledge of office management systems and procedures
- Demonstrates strong organizational skills with the ability to multitask
- Has the ability to meet deadlines and efficiently accomplish delegated tasks
- Possesses strong problem-solving skills
Terms of employment: Full-time; permanent
Working hours: 5 days per week, 8 hours per day
Job Type: Full-time
Pay: $60,320.00-$62,400.00 per hour
