Job Description
We are looking for a highly organized, detail-oriented, and proactive Dealership Administrative Assistant to support the daily operations of a busy automotive dealership. The ideal candidate will have previous dealership experience, strong organizational skills, and the ability to work closely with management, the service department, and the sales team to ensure smooth day-to-day operations.
Responsibilities
- Assist with vehicle licensing, registration, and related documentation.
- Maintain organized vehicle files and dealership records.
- Perform accurate data entry and maintain inventory records.
- Order parts and supplies for the service department.
- Coordinate with suppliers and track parts orders.
- Assist in managing the daily workflow of the mechanic shop.
- Work closely with technicians to ensure repair orders and parts are organized and completed efficiently.
- Coordinate daily tasks with lot attendants to ensure vehicles are moved, cleaned, fueled, and prepared on time.
- Work alongside managers to prioritize daily operations and complete assigned tasks.
- Answer phone calls, respond to emails, and assist customers professionally.
- Assist with warranty and service-related documentation.
- Schedule appointments and follow up as required.
- Scan, file, and organize both digital and physical documents.
- Order and maintain office supplies.
- Support management with special projects and operational improvements.
- Perform any additional administrative or operational duties assigned by management.
Qualifications
- Previous automotive dealership experience is required.
- Strong knowledge of dealership paperwork, vehicle licensing, registration, and sales documentation.
- Experience ordering automotive parts is an asset.
- Familiarity with dealership management systems (DMS) is an asset.
- Proficient with Microsoft Office and Google Workspace.
- Excellent organizational and multitasking skills.
- Strong communication and problem-solving abilities.
- High attention to detail and accuracy.
- Ability to work independently, take initiative, and perform well in a fast-paced environment.
- Professional, dependable, and team-oriented.
Schedule
- Full-time
- Monday to Friday
- Occasional Saturdays may be required.
Compensation
- A 3-month probationary period applies.
- During the probation period, compensation will be $20.00 per hour (paid through payroll).
- At the end of the 3-month probation period, performance will be reviewed by management.
- Based on performance, successful candidates may be eligible for a pay increase of up to 10%.
Pay: $20.00 per hour
