Position Summary
The Dispatch Support Coordinator ensures efficient scheduling of Preventive Maintenance (PM) services, Brush Butler appointments, and dispatch activities. Reporting to the Director of Service, this role involves organizing schedules, maintaining customer documentation, coordinating with technicians, resolving conflicts, and managing on-call, travel, and vacation calendars. The coordinator supports smooth operations, enhances customer satisfaction, and helps achieve company goals.
What you’ll do:
Roles and Responsibilities:
- Coordinate and organize weekly preventive maintenance (PM) schedules to ensure company objectives are met.
- Ensure all scheduled PMs are confirmed to avoid any disruptions.
- Provide all necessary information regarding scheduled work and required parts to technicians assigned to PMs for the upcoming week, maintaining clear and consistent communication with them on a weekly basis.
- Gather, maintain, and update customer accounts with Preventive Maintenance (PM) documentation, and provide it to customers upon request.
- Schedule Brush Butlers as needed for maintenance tasks.
- Confirm Brush Butler appointments to ensure smooth operations.
- Communicate relevant details about scheduled work and necessary parts to technicians assigned to Brush Butlers for the following week, maintaining ongoing communication with them.
- Resolve scheduling conflicts promptly by collaborating closely with dispatch for efficient solutions, ensuring minimal disruption to service delivery and maintaining clear communication with all parties involved.
- Confirm morning calls with customers across all service areas to ensure timely service delivery.
- Receive comprehensive training in dispatch procedures and be prepared to step in when needed.
- Stay flexible and ready to fill in wherever required to support smooth operations.
- Manage and update the on-call schedule.
- Coordinate and manage technician travel arrangements as needed.
- Maintain and update technician vacation calendars.
As the position evolves, the mix of responsibilities may vary, and additional job functions may be added or changed in consultation with the successful candidate.
What you’ll need:
- High School Diploma
- Analytical skills relating to data
- Strong Microsoft Excel analytical skills (pivot tables, data evaluation)
- Ability to analyze data to create pareto charts
- Excel macro experience is an asset
- Ability to multitask in a fast-paced environment
- Excellent organizational skills with high attention to detail
- Ability to be flexible and able to manage multiple priorities
- Strong verbal and written communication skills
- Self-motivated with the ability to work with minimal supervision.
