Job Description:
The Human Resource (HR) Coordinator is a vital support role in the execution of Human Resources operations. This position is responsible for coordinating Human Resources activities, including employee lifecycle management, benefits and pension administration and HR system administration. The HR Coordinator serves as a primary point of contact for employees, ensuring timely resolution of inquiries, facilitating onboarding processes, and collaborating with various stakeholders to support recruitment and compliance initiatives. This role is essential for maintaining accurate records, administering employee benefits, and ensuring alignment with organizational policies and collective agreements.
Primary Responsibilities
General Responsibilities:

In accordance with collective agreements and applicable policies and procedures, coordinates internal staffing posting process by receiving, auditing, and processing all staffing requests.

Coordinates the onboarding process for new employees, including scheduling orientation sessions, communicating necessary resources, and providing overall oversight to ensure a smooth transition into the organization.

Acts as a point of contact for employees regarding inquiries, monitoring and managing incoming requests, prioritizing them, and providing clear communication to ensure timely resolution of issues. Escalates as necessary.
Benefits Administration:

Administers Ontario Health atHome group benefits (Canada Life) and pension plan (HOOPP). Includes processing membership updates such as enrolments, terminations, coverage changes, employee status changes.

Acts as primary point of contact for staff regarding benefits and works to resolve employee queries in a timely manner. Liaises with benefit providers as needed to ensure correct administration and smooth processing.

Communicates employee updates to benefit providers such as salary changes and plan updates resulting from collective bargaining.

Maintains benefit booklets and makes updates as necessary to ensure alignment with collective agreements.

Ensures accurate records and benefit enrolment information (Quadrant) and conducts regular audit of benefit data, collaborating with the HR Analyst, providers, payroll and others as needed.

Reviews and reconciles vendor invoices, submitting them for approval and processing.

Ensures salary increases and other compensation, benefit and pension related changes are processed accurately and on time.
HR Systems:

Processes administrative updates on employee and position data for new hires in Quadrant, including the creation of new employee records.

Processes salary step increases, vacation entitlement increases, and sick leave entitlement adjustments.

Updates position information in response to reporting changes and employee movements.

Maintains salary grids to ensure accurate and up-to-date compensation data.

Provides coverage for the HR Analyst regarding the maintenance, configuration, and integrity of employee and position data stored in the Human Resources Information System (HRIS).

Collaborates closely with Managers, HR Business Partners (HRBPs), HR Analyst, and others on data collection, monitoring, and reporting support for recruitment and staffing activities, as well as compliance tracking (mandated reporting or internal compliance reporting) and other HR/Organizational Development (OD) activities as required.

What must you have?
Educational Qualifications & Experience

Completion of post-secondary education in business administration, human resources, or a related field.

Previous experience in a similar role in Human Resources that is normally attained over one year.

An equivalent combination of education and experience as deemed appropriate by Ontario Health atHome Champlain may be considered
What would give you the edge?
Knowledge & Skills

Knowledge of and ability to interpret and apply Collective Agreements.

Familiarity with HR best practices, especially related to onboarding and benefits administration.

Experience with Human Resources Information Systems (HRIS), as well as Applicant Tracking Systems (ATS) is desirable.

Proficient in MS Office Suite, with strong computer skills.

Ability to recognize, handle and protect highly sensitive and confidential information

Effective writing, proofreading and editing skills.

Bilingualism (English and French) is an asset.

Acts as primary contact for employees to answer a variety of questions related to varied HR subject matter areas.

Fosters mutually respectful relationships with a variety of internal contacts and manages client expectations under the direction of the Manager, Human Resources.

Ability to actively listen to questions and concerns of both internal candidates and hiring Managers.
