Job Description
-
Manage calendars and email by prioritizing requests, gathering information to support decision-making for the manager and/or team, and handling administrative tasks as required.

Identify and anticipate needs whenever possible. Organize and coordinate meetings, collaborate with other administrative assistants across teams and functions, prepare and follow up on meeting minutes (including communications and action items), maintain distribution lists, and coordinate logistics for events, webinars, and other activities.

Manage the flow of internal and external communications within the team. Foster positive working relationships and act as a facilitator between team members and stakeholders.

Perform office administrative duties, including telephone support, meeting and event coordination, HR-related administrative tasks, expense management, serving as the point of contact for IT and Facilities Management, supporting the organization of events and webinars, and coordinating team logistics such as office supplies and travel arrangements.

Promote initiatives that reduce the organization's environmental footprint, including minimizing printing, reducing plastic use, and reducing waste.
Your Profile

You hold a College Diploma (DEC) in Office Administration, Business Administration, or a related field.

You have a minimum of 3 to 5 years of relevant experience.

You possess excellent verbal and written communication skills in both French and English.

You are proficient in Microsoft Office (Word, Excel, PowerPoint) and Outlook.

You are recognized for your team spirit, enthusiasm, strong interpersonal skills, sound judgment, and organizational abilities.

You are able to assess and manage business priorities in a dynamic, fast-paced environment.

You have project management experience.

You demonstrate a high level of discretion and confidentiality.

You enjoy managing multiple assignments simultaneously.
