Accounting Clerk (Maternity Leave Contract)
Tatham Engineering is seeking an experienced Accounting Clerk to fill a maternity leave contract for approximately 12-15 months. As we are a rapidly growing company there is potential for this to become a permanent full-time role.
This position can work out of any of our office locations: Barrie, Bracebridge, Collingwood, Orillia, Guelph or Ottawa. Reporting to the Controller, the primary role of the Accounting Clerk is handling accounts payable. Other responsibilities will include preparing monthly invoices as part of the accounts receivable process, and assistance with payroll functions as and when needed.
Key Responsibilities:
- Manage the accounts payable process, including obtaining invoice approvals, entering vendor invoices in Unanet accounting system, and making payments via cheque, electronic fund transfer and online banking within the payment deadlines.
- Manage the AP email, prioritize and organize on a daily basis
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
- Work collaboratively with cross-functional teams for issue resolution
- Manage EFT system: enter vendor banking and email notification information in Unanet and send EFT notifications to vendors when payments are made.
- Track subconsultant invoices and due dates to ensure payment made in compliance with the Ontario Construction Acts prompt payment requirements.
- Ensure proper, current liability insurance and WSIB certificates are on file and recorded in Unanet for Tatham’s subconsultants.
- Prepare monthly invoices for clients.
- Review weekly time and expense sheets for accuracy and calculate HST on expenses. Follow up with staff regarding unsubmitted time and expenses.
- Run Statutory Holiday report and enter hours on employee timesheets.
- Enter expense charges (plots, prints, reports, etc.) into Unanet.
- Enter company credit card purchases and reconcile statements.
- Coordinate petty cash reconciliations for all branches.
- Track computer and fixed asset purchases and disposals for insurance requirements and year-end reporting.
- Set up new projects in Unanet and upload Engineering Service Agreements (ESA) and Purchase Orders as directed by Project Managers.
Key Position Requirements:
- A university degree or college diploma in accounting, business administration, finance or related field
- Minimum of 5 years experience in accounting/bookkeeping with previous accounts payable experience
- Strong computer skills with Microsoft Office
- Ability to use enterprise-level financial record-keeping software systems
- Ability to work independently and as part of a team
- Ability to complete a high volume of work within deadlines
- Excellent knowledge of basic accounting concepts
- Excellent interpersonal, oral and written communication skills
- Excellent organizational and time management skills
