Job Description
The Administrative Assistant I for Water Distribution and Wastewater Collection Services provides administrative assistance to the Manager and branch staff in completing assigned tasks to meet the departments deadlines and commitment needs of the departments management group, interdepartmental contacts and staff; coordinate meetings, draft correspondence, reports and documents, monitor incoming correspondence and email, perform data entry, research and gather information, assist with procurement and contract management processes, records management representative for branch records, archive record and maintain the branch library.

Responsibilities

Act as a first point of contact for the Manager’s office; use discretion and judgement regarding the flow of information; record and track meeting deadlines; evaluate incoming issues requiring immediate attention; and, develop preliminary action plans, acting independently as required.
Manage calendars and email, arrange meetings, prepare meeting packages, record and distribute minutes
Pro-active scheduling of human resource management tasked to the Manager; including coordination of one on one meetings, performance appraisals, staff development forms, work plans, printing and sorting resumes, editing job descriptions and job postings to ensure branch compliance with organization’s timeline expectation
Draft a variety of correspondence, reports and documents, perform data entry, communicate information to staff and contractors, prepare expense forms and assist with credit card reconciliation
Liaise with multiple contractors to gather information to prepare and complete contractor/consultant agreements
As Department Records Representative, manage departmental corporate records electronically in the Enterprise Content Management (ECM) system; determine security permissions, move, delete and archive records. Provide leadership, guidance and advice to the branch staff for their record management compliance and responsibilities
Provide coverage for other administrative staff
Skills and Abilities

Proficient in the use of computer applications including Microsoft office
Strong organizational and time management skills, with the ability to work independently and within a team
Excellent knowledge of general office procedures, including recording and transcribing minutes
Ability to maintain a professional and positive image and use sound judgement when dealing with confidential information
Excellent interpersonal and customer service skills
Excellent verbal and written communication
Qualifications

High school diploma plus five years of recent and related administrative experience supporting a manager or team
Business Administration certificate or diploma is considered an asset
Municipal government experience is an asset
