About the Role
We are seeking a motivated and detail-oriented Office Administrator to join our team. In this role, you will provide high-quality administrative support, ensuring the smooth operation of our office and supporting our employees across many functions of the business. You will play a key role in maintaining an efficient and welcoming work environment while demonstrating strong attention to detail and the ability to multitask to match VRIFY’s ever-changing needs.
Role & Responsibilities
Office Administration
- Hybrid Work Schedule: Required to be in our downtown Vancouver office at 400 Burrard 4 days a week, with 1 day remote/choice.
- Hot Desking Management: Ensure all workstations are properly set up for hot desking—maintain proper equipment setup, cleanliness, and readiness for new users.
- Office Booking System: Maintain and uphold the office booking system and policies to ensure compliance.
- Building Liaison: Communicate as needed with building management to order/cancel key fobs, put in maintenance requests, and respond to building management requests.
- Office Environment: Take responsibility for the look and feel of the office, ensuring it is a welcoming and clean environment for employees, clients, and guests.
- Supplies Management: Manage the ordering and organization of both refreshments
- and general office supplies.
- Employee Support: Assist employees with office and administrative needs and tasks as necessary.
- Mail Management: Handle all inbound and outbound mail and packages, including sorting, distributing to staff, and arranging shipments as needed.
Employee & Administrative Support
- Access Management: Maintain logs of software access and hardware requirements for each employee based on their team/role.
- Onboarding Support: Support the onboarding process for new hires, including:
- Ordering new computer equipment.
- Setting up the appropriate software and access levels.
- Conducting background checks.
- Booking interviews with hiring managers and candidates.
- Filtering resumes on our HRIS, BambooHR.
- Uploading onboarding documents to BambooHR profiles.
- Event Coordination: Assist in organizing team social events—both remote and local Vancouver-based in-person events.
- Policy Management: Review and update policy documentation as needed (Employee handbook, company policies).
- Compliance Assistance: Assist with compliance using Drata SOC2 monitoring software.
- Benefits Administration: Administer employee benefits, including inviting new employees to our benefits program, maintaining dependents, and being the go-to person for employee queries.
- Hardware Management: Oversee the ordering, logging, and maintenance of all computer hardware and equipment for employees across all teams.
Qualifications
- Experience: Proven experience in office administration or a similar role.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word).
- Familiarity with Slack, Asana and Notion.
- Familiarity with HRIS systems, preferably BambooHR.
- Knowledge of Google Workspace Admin Console (setting up new email accounts, managing Google Drive, mail forwarding, etc.).
- Working knowledge of both Mac and PC computer specifications.
- Ability to navigate new software and understand user permissions/access levels.
- Soft Skills:
- Strong ownership attitude with the ability to take initiative and responsibility for tasks as they arise.
- Excellent organizational skills with keen attention to detail.
- Ability to multitask and anticipate employee needs in a fast-paced environment.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively within a team.

- Compensation: A base salary of CAD $50,000-65,000, based on experience, with additional compensation benefits including an annual performance based bonus.

Important Note
This role is required to be in our downtown Vancouver office at 400 Burrard at least 4 days a week, with the option to work remotely one day per week. We are committed to supporting our team's work-life balance through hybrid work.
