AB Group is seeking a motivated and detail-oriented Health, Safety & HR Coordinator to support our growing group of companies.
The position will primarily focus on health, safety, quality and compliance, including maintaining our COR program and supporting the development and implementation of our CIMS management system. The successful candidate will coordinate workplace inspections, cleaning-quality audits, corrective actions, safety onboarding, training records and employee compliance documentation.
The individual will also assist with HR administration and recruitment. As the company’s compliance programs become established, the role will take on increasing responsibility for customer-site audits, construction-cleaning inspections, quality assurance and operational-compliance follow up.
This is a developing coordinator position suited to someone with a health and safety educational foundation, strong administrative and communication skills, and an interest in gaining practical experience across multiple companies and work environments.
Key Responsibilities
Health, Safety and Compliance
- Maintain the company’s COR health and safety program and supporting documentation.
- Assist with the development, implementation and maintenance of the CIMS management system.
- Coordinate workplace inspections and review submitted inspection records for completeness, accuracy and consistency.
- Identify deficiencies, assign corrective actions and monitor them through completion.
- Support incident and near-miss investigations, including documentation, root-cause analysis and follow-up.
- Maintain policies, procedures, safe-work practices, forms and controlled documents.
- Track employee safety training, competencies, certifications and expiry dates.
- Prepare safety statistics, reports and supporting evidence for internal and external audits.
- Assist with internal audits, management reviews and certification activities.
- Review vendor, vehicle, facility and site-compliance records as assigned.
- Maintain organized electronic and physical compliance records for each company and location.
- Visit company and customer locations to complete inspections, verify compliance and collect supporting evidence.
Quality and Operational Compliance
- Complete scheduled cleaning-quality inspections at customer locations.
- Conduct site audits for regular janitorial services, construction cleaning and other operational projects.
- Compare completed work against customer requirements, cleaning specifications, checklists and CIMS service-delivery standards.
- Document deficiencies using inspection reports, photographs and other supporting evidence.
- Communicate deficiencies to the responsible supervisor or employee and establish corrective-action deadlines.
- Follow up to verify that deficiencies have been corrected and properly closed.
- Review recurring customer complaints or service failures to determine whether formal corrective action is required.
- Assist with new-site setup, including site-specific hazard assessments, compliance documentation, training requirements and quality-control checklists.
- Monitor whether employees are following required procedures, using appropriate PPE and maintaining required site documentation.
- Prepare quality and operational-compliance summaries for management review.
- Escalate serious, repeated or overdue deficiencies to management.
- Support continuous improvement of cleaning procedures, inspection forms and customer-service controls.
Employee Onboarding and HR Support
- Coordinate the health and safety portion of employee onboarding.
- Deliver or arrange safety orientations, WHMIS and other required training.
- Confirm that employees have completed required policies, training and site-specific documentation before beginning work.
- Maintain onboarding checklists, policy acknowledgements and employee compliance records.
- Support the preparation and maintenance of employee files.
- Assist with interview scheduling, reference checks, onboarding coordination and other recruitment activities.
- Follow up with employees and supervisors regarding missing documentation and outstanding requirements.
- Support other HR and administrative duties as the role develops.
Qualifications
- Certificate, diploma or coursework in occupational health and safety, human resources, business administration, quality assurance or a related field.
- Some practical experience in safety, compliance, quality assurance, HR administration or a similar role is preferred.
- Working knowledge of Alberta occupational health and safety requirements.
- Basic understanding of inspections, incident reporting, corrective actions and document control.
- Ability and confidence to conduct physical site inspections and communicate deficiencies professionally.
- Strong written and verbal communication skills.
- Strong attention to detail and ability to identify missing, incomplete or inconsistent information.
- Proficiency with Microsoft Word, Excel, Outlook and electronic filing systems.
- Ability to manage multiple deadlines and follow outstanding actions through completion.
- Ability to work independently while recognizing when management direction is required.
- Ability to maintain confidentiality and handle sensitive employee information.
- Valid driver’s license and ability to travel to local company and customer sites when required.
Assets
- Experience supporting or maintaining a COR program.
- Familiarity with CIMS, ISO 9001, ISO 45001, HACCP, BRCGS or another formal management system.
- Health and safety or quality-auditor training.
- First Aid, WHMIS or incident-investigation training.
- Experience completing workplace, facility, safety or quality inspections.
- Experience in janitorial services, construction cleaning, staffing, warehousing, transportation, food service or another multi-site environment.
- Previous employee onboarding or recruitment experience.

Development Opportunity
The successful candidate will receive guidance during the initial learning period. As competency is demonstrated, the employee will take greater ownership of COR maintenance, CIMS implementation, inspections, corrective actions, safety onboarding, quality audits and compliance reporting.
This position coordinates audits, documentation and corrective-action follow-up. Daily staffing, employee scheduling, project management, customer pricing and major operational decisions will remain with the appropriate supervisor or management.
