Overview
The Birchmount Bluffs Neighborhood Centre (BBNC) is a charitable, multi-service neighbourhood-based organization that offers a range of recreation, fitness, social and learning programs to all members of the community. We welcome people of diverse ages, backgrounds, and abilities to participate in our programs and services.
The mission of BBNC is to collaborate with individuals, families, and communities to overcome barriers and enhance quality of life. We do this by fostering social inclusion, developing skills and abilities, and collaborating with our partners to facilitate access to flexible and responsive programs and services.
The Member Services Assistant is a customer-facing role that directly contributes to enhancing access, inclusion, and wellbeing in the local community.
Responsibilities
Community interface:
- Clearly understand all BBNC programs in order to direct and answer client questions in-person, via email or over the phone
- Greet and provide reception assistance and support for all BBNC members
- Ensure all interactions reflect BBNC's values of inclusion, respect and accessibility
- Support announcements and social media and updates to BBNC members
Organizational Support:
- Liaise with multiple departments to coordinate and manage front office and program space
- Maintain email records, files and documentation
- Keep inventory records and order office supplies
- Process program registrations, payments and database updates using RecDesk
- Create and maintain room, class and instructor schedules to support programming
- Organize in-person and virtual meetings for programs and staff
- Type letters, minutes, memos and complete required forms
- Send and receive letters, packages and communications
- Assist in planning community events and initiatives
- Support SHARE365 operations
- Process volunteer applications
- Perform other administrative duties as required
Financial and Data Support:
- Maintain, balance and update databases for: Instructor sign in, invoices, and billings
- Balance daily and weekly transaction receipts
- Provide accurate deposit and reconciliation documentation to the Administrator
- Other duties as assigned
What you will bring to the BBNC Team:
- A minimum of 1 year experience in office administration, paid or volunteer
- A true enjoyment of working with the public
- Experience working with diverse cultures in a community-based setting
- Excellent skills in the Microsoft office suite of products
- Superior attention to detail, accuracy and initiative
- Ability to work with minimal supervision and effectively as part of a team
- Ability to multitask and pivot, meeting agreed upon deadlines
- Exceptional interpersonal and organizational abilities
- Strong oral and written communication skills
- Great Initiative and sound judgment

Pay: $19.00 per hour
