Position SummaryThe experience our members have at Stem Health begins with the people we hire and the people we hire are only as supported as the team behind them. As our HR Administrator, you will be the operational backbone of our people function: the person who ensures that every hire is onboarded with care, every record is accurate, every policy is current, and every team member has what they need to show up and do their best work.
Reporting to the SVP, Operations and working closely with the operations team, you will manage the full spectrum of HR administration across both clinical and non-clinical staff from recruitment coordination and credentialing support to payroll preparation, benefits administration, and employee relations. This is a broad, hands-on role in a growing early-stage organization. You will be building and maintaining many of our HR systems from the ground up, and your attention to detail, discretion, and genuine care for people will directly shape the culture we create.
Key ResponsibilitiesRecruitment and onboarding-
Coordinate end-to-end recruitment logistics including posting roles, screening applications, scheduling interviews, conducting reference checks, and preparing offer letters.

Manage the onboarding process for all new hires clinical and non-clinical ensuring each team member is welcomed, oriented, and fully equipped before their first day.

Maintain onboarding documentation, collect required credentials and certifications, and ensure all records are complete and audit-ready from day one.

Support the coordination of contractor and practitioner agreements in collaboration with the operations and legal teams.
Clinical credentialing and compliance-
Track and maintain registration, licensure, and certification records for all regulated clinical staff ensuring credentials are current, renewals are flagged in advance, and documentation is stored securely.

Liaise with relevant regulatory colleges (CPSO, CMRITO, CPO, CKO, CMTO, and others) as needed to verify and confirm registrant status.

Ensure HR practices and employment documentation comply with applicable Ontario employment standards, privacy legislation (PHIPA), and applicable healthcare regulatory requirements.

Maintain current awareness of Ontario employment law changes and flag policy updates to leadership as needed.
Payroll and benefits administration-
Collect, verify, and prepare payroll data for submission including hours, adjustments, new hire entries, departures, and contractor payment records in close coordination with the Accounting team.

Serve as the first point of contact for employee questions about pay, benefits, time off, and employment terms, resolving routine inquiries or escalating as appropriate.

Administer employee benefits programs including health and dental coverage, liaising with plan providers and supporting enrollment, changes, and terminations.

Maintain accurate records of vacation, sick leave, and other entitlements in compliance with ESA requirements.
Employee records and HRIS-
Maintain complete, accurate, and confidential employee records including employment contracts, performance documentation, disciplinary records, and personal information in the clinic's HRIS or equivalent system.

Ensure data integrity across all HR systems and generate standard HR reports as required by leadership.

Manage offboarding processes including final documentation, benefits termination, and record retention in accordance with applicable standards.
Employee relations and culture-
Act as a trusted, accessible point of contact for team members across the organization responding to queries with professionalism, care, and discretion.

Support the resolution of employee relations matters, escalating complex or sensitive issues to leadership with appropriate documentation and context.

Contribute to the development and communication of HR policies, the employee handbook, and any team-facing HR resources.

Qualifications & Experience-
Bachelor's degree or diploma in Human Resources, Business Administration, or a related field.

CHRP designation or active pursuit of CHRP designation through HRPA is strongly preferred.

Minimum 4–6 years of experience in an HR generalist or HR administrator role; experience in a healthcare, clinic, or regulated professional services environment is a significant asset.

Solid working knowledge of Ontario employment law, the Employment Standards Act (ESA), and healthcare privacy legislation (PHIPA).

Experience supporting recruitment, onboarding, payroll preparation, and benefits administration in a multi-role or multi-disciplinary environment.

Familiarity with HRIS platforms and proficiency with Google Workspace.

High degree of discretion, confidentiality, and professional judgment as you will handle sensitive information about both employees and the organization.

Exceptional organizational skills and meticulous attention to detail; comfortable managing competing priorities in a fast-paced, early-stage environment.
