This is a full-time, office-based Project Coordinator role supporting multiple active construction projects across Ontario. Working from our Mississauga office, you will coordinate schedules, logistics, documentation, inspections, trucking, and workforce planning for construction hoist and scaffold operations.
This position is ideal for someone who enjoys organizing complex projects, communicating with multiple stakeholders, and keeping operations running smoothly. While the role works closely with construction sites and field crews, it is not a field position and does not require performing work on construction sites.

You as a Hoist Coordinator will:
- Coordinate construction projects and operational activities, including equipment installations, relocations, dismantles, inspections, and service work.
- Maintain project schedules, timelines, calendars, location tracking, and operational plans using Excel, SharePoint, and internal systems.
- Communicate daily with construction sites, project teams, vendors, and field crews to confirm schedules, site readiness, project milestones, and operational requirements.
- Prepare and distribute project schedules, timelines, Safe Work Procedures (SWPs), work orders, picklists, and project documentation.
- Coordinate workforce scheduling, daily crew assignments, overtime requirements, and operational updates.
- Arrange travel, accommodations, and logistics for field personnel as required.
- Coordinate manpower planning with shop and operations teams to support upcoming project requirements.
- Schedule inspections and third-party services, including regulatory and NDT inspections.
- Maintain project documentation, logbooks, drawings, inspection reports, licenses, certificates, and regulatory records.
- Manage project folders and documentation within SharePoint and company systems.
- Coordinate trucking and transportation logistics, including purchase orders, Bills of Lading, vendor scheduling, and invoice processing.
- Track project materials, inventory movements, rental equipment, and site returns.
- Support project billing, rental contracts, work order completion, and operational reporting.
- Review, collect, and file timesheets and ensure accurate project records are maintained.
Is this the right role for you?
- Three to Four years of coordinating experience, preferably in construction, equipment rental, or industrial services.
- Strong organizational, scheduling, and multitasking skills.
- Excellent verbal and written communication skills with a professional demeanor.
- Outgoing, confident, and relationship-focused personality with the ability to build rapport and communicate effectively with site personnel, crews, vendors, and internal teams.
- High attention to detail and strong documentation skills.
- Proficiency in Excel and familiarity with shared drives, calendars, and operational systems.
- A diploma or post-secondary education in Administration, Operations, Construction Management, Project Coordination, or a related field would be an asset.
- Ability to work full time in office located in Mississauga, ON.
The salary range for this job is $60,000-$70,000
