Administrative Assistant/Shipper & Receiver – Dartmouth, NS

This position will support our team by performing reception, administrative, and shipping/receiving duties. There are many facets to our business, so being able to multitask and prioritize is vital. This individual should also have a positive attitude, willingness to learn, and sound judgement. We are a team-oriented organization, so the ability to anticipate needs and pitch in where needed, is very important.

Administrative Assistant Duties

· Front desk reception – answering phones, assisting walk in customers, and responding to emails.

· Directing inquires and taking messages for salesperson(s).

· Maintaining organization and filing of documents.

· Ordering office and shipping supplies.

· Liaising with co-workers in other provinces.

· Ensuring office space looks professional and tidy.

Shipping & Receiving Duties

· Assisting couriers with pick-ups and drop offs.

· Receiving incoming parts by following the company’s receiving procedure.

· Inventory management: ensuring parts are recorded when taken and billed to jobs, requesting parts adjustments, doing regular inventory counts, and ensuring parts are physically organized.

· Using courier websites to create shipments and schedule pick ups.

· Packaging parts in a professional, tidy, and protected manner.

· Delivering parts to local customers.

Qualifications/Skills

· Similar experience in previous admin/shipping role.

· Ability to use Microsoft office suite and Microsoft Teams.

· Being “tech savvy” at using the computer for email, online meetings, shipping sites, as well as photocopying/scanning, and using an electronic filing system.

· Ability to learn new software systems.

· Excellent communication skills: coordination with co-workers in other provinces is vital.

· Attention to detail and strong problem-solving skills.

· Ability to multi-task and switch gears quickly if needed.
