Position Summary
The Part-Time Program Coordinator & Administrator is responsible for supporting the coordination, administration, and delivery of CIA’s programs, workshops, and community initiatives. This role ensures smooth day-to-day program operations, participant engagement, communications, reporting, and event support.
The position combines program coordination, administrative support, stakeholder engagement, social media posting, and participant follow-up to support effective and consistent program delivery.
Key Responsibilities
Program Coordination & Delivery
- Support day-to-day coordination of entrepreneurship and community programs
- Assist in implementing program work plans, timelines, and activities
- Manage participant intake, registration, tracking, and follow-up support
- Assist in delivery of workshops, training sessions, mentorship, and events
- Monitor program activities and support achievement of milestones
Administrative Support
- Maintain accurate program records, databases, and participant files
- Prepare basic reports, meeting notes, correspondence, and documentation
- Support scheduling, calendar coordination, and internal communications
- Assist with funder reporting requirements and documentation
- Support general program administration and office tasks
Event & Workshop Coordination
- Assist in organizing workshops, training sessions, and community events
- Coordinate logistics including materials, venues, facilitators, and participants
- Support both in-person and virtual event delivery
- Assist with post-event reporting and feedback collection
Social Media, Communications & Outreach
- Create, schedule, and post basic content across CIA social media platforms
- Promote programs, workshops, and community events online
- Share updates, reminders, and participant success stories
- Support newsletters, email updates, and digital communications
- Maintain consistent online visibility of CIA programs
- Assist in basic outreach and promotional activities
Participant Follow-Up & Engagement
- Conduct follow-ups with participants after programs, workshops, and events
- Maintain communication to support engagement and retention
- Collect feedback, testimonials, and basic outcome data
- Track participant participation and ongoing involvement
- Identify participant needs and refer to appropriate supports when required
- Support relationship-building and community connection
Stakeholder Support
- Serve as a contact point for participants and community partners
- Maintain positive relationships with referral partners and service providers
- Support outreach to increase program participation
- Attend community events or meetings when required (as availability allows)
Reporting & Program Support
- Assist in collecting program data and basic performance metrics
- Support preparation of internal and funder reports
- Track participation numbers and engagement outcomes
- Assist in basic program evaluation activities
Financial & Administrative Support (Basic Level)
- Assist with tracking program-related expenses
- Support invoice processing and receipts collection
- Maintain documentation for program accountability
- Support basic administrative compliance tasks
QualificationsEducation
- Diploma or Degree in Business Administration, Community Development, Social Sciences, Project Management, or related field
Experience
- 1–3 years of experience in program coordination, administration, or community support
- Experience in non-profit, entrepreneurship, or newcomer-serving organizations is an asset
- Experience with grant-funded programs is preferred
Skills & Competencies
- Strong organizational and time-management skills
- Good communication and interpersonal skills
- Basic experience with social media posting and digital engagement
- Ability to follow up with participants and maintain relationships
- Ability to manage multiple tasks within part-time hours
- Strong attention to detail and documentation accuracy
- Proficiency in Microsoft Office and Google Workspace
- Basic experience with data entry and reporting
Assets
- Knowledge of entrepreneurship or small business development
- Experience working with diverse communities and newcomers
- Event or workshop coordination experience
- Familiarity with non-profit or grant-funded environments
Compensation
$25 – $35 per hour (depending on experience and qualifications)
Work Environment
- Hybrid (remote + office in Edmonton)
- Flexible part-time schedule (15–25 hours per week)
- Occasional evenings or weekends for events (as needed)
- Local travel may be required for community engagement
