Reporting to the Chief Executive Officer and working closely with the CFO & VP Corporate Services, the Executive Assistant plays a critical role in ensuring the smooth operation of executive and governance functions at the AIC. This position supports the CEO, Executive Team, and Board by coordinating priorities, managing governance processes, and enabling effective decision-making across the organization.
This is a highly independent role requiring a strong sense of ownership, sound judgment, and the ability to manage competing priorities with minimal direction. The Executive Assistant is trusted to anticipate needs, make informed decisions within scope, and ensure continuity of operations without reliance on constant oversight.
This is an office-based position located in Edmonton.
WHAT YOU BRING
- Strong experience supporting senior executives and coordinating governance activities.

- Clear understanding of the importance of accuracy, discretion, and timeliness in managing executive calendars, preparing briefings, coordinating Board and Committee materials, and ensuring governance processes run smoothly.
- You are proactive, reliable, and able to anticipate needs before they arise.
- Comfortable working with a high level of independence and discretion, managing competing priorities without requiring close supervision.
- Strong communication skills, attention to detail, and the ability to build effective working relationships with executives, board members, and stakeholders.
KEY RESPONSIBLITIES
Executive Support
- Manage the CEO’s calendar, scheduling, travel, and logistics with a proactive and forward-looking approach
- Prepare, review, and assemble briefing materials, reports, presentations, and correspondence
- Anticipate priorities and upcoming commitments, adjusting plans and materials accordingly
- Independently manage inquiries, exercising judgment in responding, redirecting, or escalating as appropriate.
Executive Team Support
- Prepare agendas, materials, and follow-up documentation for Executive Team meetings.
- Attend Executive and stakeholder meetings as required, capture decisions and action items, and track follow-through.
- Coordinate logistics, travel, and administrative needs to support Executive Team operations.
- Ensure timely flow of information and alignment across executive priorities and initiatives.
Board Support
- Coordinate Board and Committee meetings, including agendas, materials, scheduling, and logistics.
- Attend meetings as required, record decisions, and maintain accurate minutes and action items.
- Track and follow up on Board and Committee actions to ensure timely completion.
- Maintain governance documentation, records, and correspondence to ensure accuracy and compliance.
Operations & Strategic Support
- Coordinate special projects and initiatives from planning through to completion.
- Identify gaps or inefficiencies in processes and implement improvements independently.
- Manage and coordinate external and internal organization events and recognition programs.
- Support organizational initiatives and changes to ensure smooth execution and alignment with priorities.
REQUIREMENTS
Education
- A Bachelor's or diploma degree in Business or Administration.
- GPC.D designation or similar governance training.
Experience
- 7+ years of progressively responsible senior administrative experience supporting a director level and up, and/ or a team.
- Extensive experience working with Boards of Directors and Board Committees.
- Experienced with Office Suite, internet applications, in-house programs and facilities.
- Considerable experience of Board governance sensitivities and processes, and general office policies and procedures.
- Proficient in Microsoft Office Suite and standard business tools.
Equivalent combinations of education and experience will be considered.
Additional Requirements
- Employment is conditional on a clear criminal record check, covered by AIC.
