Job Overview
We are seeking a highly organized and proactive Office/Projects Administrator to support our team in managing daily office operations and project coordination. This role requires a versatile individual with strong administrative, communication, and team management skills to ensure smooth workflow and efficient project execution. The Office Administrator is responsible for supporting daily administrative operations within a busy construction and development office. This role ensures smooth coordination between management, site teams, subcontractors, clients, and consultants while maintaining organized office systems and documentation. This position offers an opportunity to contribute to a dynamic environment where attention to detail and excellent organizational skills are valued.

Duties

Manage incoming calls, emails, and general office correspondence
Maintain and organize project files, drawings, permits, and contracts
Assist with scheduling meetings, site visits, and inspections
Coordinate with subcontractors, suppliers, and consultants as required
Prepare, process, and track invoices, purchase orders, and expense records
Support permit applications and municipal documentation as needed
Maintain office supplies and general office organization
Enter and update data in spreadsheets and internal tracking systems
Assist management with administrative and reporting tasks
Ensure confidentiality and accuracy of all company documentation

Skills

Previous administrative experience (construction/development industry preferred)
Experience with construction documentation or permitting processes
Familiarity with builders, developers, or trades coordination
Valid driver’s license
Strong organizational and time-management skills
Excellent written and verbal communication abilities
Proficient in Microsoft Office (Word, Excel, Outlook)
Ability to multitask in a fast-paced environment
High attention to detail and accuracy
Professional and reliable work ethic

This role is essential for maintaining operational excellence within our organization. We seek a dedicated professional who is detail-oriented, communicative, and capable of managing multiple responsibilities simultaneously.

Pay: $16.00-$18.00 per hour
