Our client is delivering a major construction and infrastructure project in Edmonton, Alberta. Operating within an EPC/EPCM structure, this organization brings together engineering, procurement, and construction management on projects that shape communities and connect people. As Subcontracts Administrator, you will sit at the commercial centre of the project, working within a dedicated procurement team to manage the full lifecycle of construction and service contracts from initial request for quote through to final close-out. This is a hands-on, high-visibility role where your judgment, attention to detail, and ability to navigate complexity will directly influence project outcomes.
THE OPPORTUNITY
You will be responsible for the management, coordination, and administration of subcontracts, ensuring cost and schedule compliance at every stage. This includes running RFQ processes, leading post-award contract activities, managing change orders for in-scope and out-of-scope items, and overseeing attestation of progress and Rules of Credit for billing purposes.
Your day-to-day work will involve drafting and issuing contractual correspondence, coordinating and reviewing project documentation, and processing payment certifications with accuracy and accountability. You will attend and lead progress meetings, prepare meeting minutes, and track outstanding issues through to resolution, keeping stakeholders informed and aligned at every step.
The role carries real commercial weight. You will identify and highlight contractual risks, assist in or lead claim mitigation efforts, and ensure legal, regulatory, and commercial compliance throughout the life of each contract. You will perform site reviews, prepare reports on construction progress, and document deviations from the contract where they arise.
Collaboration is central to how this team operates. You will liaise with subcontractors to address constructability issues and owner concerns, coordinate with internal design and construction staff, and work alongside the broader project team to prepare and process change documentation. You will also contribute to monthly project reports covering construction progress, billing, accruals, and cost forecasting, and provide mentorship to design and construction staff on matters of commercial risk and exposure.
When the project reaches completion, you will lead the coordination of close-out documentation and Substantial Performance reviews, ensuring final payments are processed and all records are properly handed over. Every phase of this work calls for someone who is organized, commercially aware, and solutions-focused.
WHAT YOU'LL BRING
You are an experienced contracts professional who has spent time on large EPC or EPCM projects and understands what it takes to manage complex commercial arrangements in a demanding project environment. You bring:
- A minimum of 10 years of contracts administration experience within EPC or EPCM project environments, ideally in transportation and infrastructure
- A diploma or degree in quantity surveying, finance, administration, or a related field; a combination of relevant education and experience will be considered
- Solid familiarity with the formation of construction contracts, including support service, construction, design, and consultant agreements
- Demonstrated ability to manage and administer both pre- and post-award construction contracts across Unit Price, T&M, and Lump Sum structures
- Working knowledge of Work Breakdown Structures (WBS) methodology and its application in progress monitoring
- Advanced proficiency in MS Office applications, SharePoint, JDE, and Aconex
- Strong skills in Excel, PowerPoint, and Power BI / KPI reporting
- Excellent written communication skills, particularly in drafting contractual letters, notices, and formal correspondence
- A strong understanding of contractual and commercial risk and the ability to identify and communicate exposure clearly
- Light Rail Transit project experience is considered a strong asset
- Current residency in Edmonton, Alberta is preferred

COMPENSATION & BENEFITS
Base Salary of $110,000 - $140,000 per annum, plus comprehensive health, dental, and medical benefits.
