Position Overview
We are seeking a highly organized, detail-oriented, and customer-focused Financial Services Associate to join our growing team.
This role is critical to the day-to-day success of our commercial finance operations and is responsible for supporting client onboarding, funding administration, account management, cash management, collections, reporting, and customer service activities. The successful candidate will work closely with clients, debtors, funding partners, and internal departments to ensure timely funding, accurate account administration, effective collections management, and an exceptional client experience.

Key Responsibilities
Client Onboarding & Account Setup:
- Coordinate the onboarding process for new clients from approval through activation
- Collect, review, and verify onboarding documentation, including corporate records and banking information
- Establish client and debtor profiles within internal systems
- Ensure all onboarding requirements are completed prior to funding
- Coordinate account activation with internal departments
- Assist clients with onboarding inquiries and system navigation
- Maintain accurate onboarding records and documentation
Funding Administration:
- Review and process client funding requests
- Verify supporting documentation for completeness and accuracy
- Coordinate funding approvals and submissions within required timelines
- Prepare and review funding documentation
- Maintain accurate records of all funding transactions
- Communicate funding confirmations and updates to clients
Client Service & Relationship Management:
- Serve as a primary point of contact for clients and debtors
- Respond promptly and professionally to telephone and email inquiries
- Provide support regarding funding transactions, payments, account balances, account activity, and general account inquiries
- Build and maintain strong client relationships through proactive communication and exceptional service
- Collaborate with internal departments to resolve client concerns efficiently
Cash Management and Payment Processing:
- Monitor and manage the shared cash management mailbox
- Review incoming payments, remittance details, and payment notifications
- Process and record incoming payments accurately
- Investigate payment discrepancies and missing remittance information
- Coordinate payment applications with collections and accounting teams
- Provide payment status updates to clients and stakeholders
Accounts Receivable and Collections
- Monitor customer payment activity and aged receivables
- Conduct collection follow-up on overdue accounts
- Obtain payment commitments and expected payment dates
- Maintain detailed records of collection efforts and client communications
- Escalate unresolved collection matters as required
- Support payment plan monitoring and account updates
Chargeback and Risk Management:
- Communicate with clients regarding pending chargebacks and account adjustments
- Assist with reserve holdback notifications and account reconciliations
- Document all client correspondence accurately and thoroughly
- Support risk management initiatives through accurate reporting and account monitoring
Account Administration and Reporting:
- Maintain accurate client and debtor account records
- Process account maintenance requests, profile updates, and banking changes
- Prepare operational and financial reports as requested by management
- Review reports for accuracy and distribute approved reports to clients
- Maintain organized electronic files and documentation
Compliance and Documentation
- Ensure all client files remain complete, accurate, and current
- Maintain confidentiality and security of sensitive financial information
- Support internal audits, compliance reviews, and operational controls
- Ensure documentation standards and company procedures are consistently followed
Qualifications
Required:
- 5 years of experience in financial services, commercial finance, factoring, accounts receivable, collections, banking, lending, or a related field
- Strong customer service and relationship management skills
- Excellent verbal and written communication abilities
- Exceptional attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Outlook, Excel, Word, and Teams
Preferred:
- Experience in factoring, asset-based lending, commercial finance, or receivables financing
- Knowledge of funding operations, collections, chargebacks, cash applications, and credit administration
- Experience working with accounting or financial management software
- Post-secondary education in Business, Finance, Accounting, or a related discipline
