Position Summary
Reporting to the Manager, Finance & Administration, the Foundation Assistant provides support to the Foundation team to ensure smooth and effective day-to-day operation of the Foundation including reception and answering and directing general calls, emails and inquiries.
The Foundation Assistant also provides support for Foundation meetings, donation processing and financial functions of the Foundation including processing, receipting and acknowledgement of donations.
This role is based on-site at Ross Memorial Hospital in Lindsay, Ontario.
The RMH Foundation is currently seeking a Full-Time Administrative Assistant to join their team.
Effective July 6, 2026
Throughout the course of your duties you will:
- Organize, schedule, book meetings, and track attendance and quorum.
- Book meeting rooms and venues.
- Arrange for refreshments and catering, and the set-up and tear-down.
- Responsible for meeting room set-up, logistics and presentation requirements, including supplies, tools, and electronics.
- Prepare and distribute meeting reminders, agendas, minutes and support documentation for meetings in collaboration with the CEO, Board members or other Foundation staff.
- Attend meetings to record minutes; prepare, distribute and maintain meeting records.
- Track bring forward business items for upcoming meetings.
- Support the gift processing function in the Foundation.
- Liaise with donors, volunteers and staff to ensure accurate processing.
- Work in the Raiser’s Edge database: data-entry, posting gifts, receipting, and acknowledging donations in a timely fashion and setting up templates.
- Provide Raiser’s Edge reporting and query as requested and update Raiser’s Edge database records on an ongoing basis.
- Assist the Manager, Finance & Administration with bank deposit preparation and reporting as required.
- Distribute ongoing donor and fundraising correspondence including gift recognition, tribute giving notifications, pledge reminders, and special events materials.
- Maintain and follow all office procedures.
- Prepare orders for office supplies, stationery, and materials and inventory supplies.
- Produce and update external and internal Foundation forms and maintain central inventory or forms.
- Responsible for reception (email, phone and walk-in) and greeting the public, including those who present in the hospital Main Lobby.
- Prepare, collect and sort the incoming and outgoing mail.
- File and maintain correspondence.

Essential Qualifications
- A minimum of two years post-secondary education in administration or other related field of study.
- Experience in a fast-paced office setting.
- Capability in Raisers’ Edge/Blackbaud software is an asset; however, training will be provided.
- Above average word-processing abilities include database and spreadsheet software preferably with strong working knowledge of Microsoft 365, MS Word, Excel, Outlook, Power Point, and SharePoint.
- Proficient in the use of the Internet and E-mail.
- Digital content and social media experience is an asset.
- A passion for RMH and RMH Foundation and healthcare philanthropy.
- Attention to detail and absolute commitment to accuracy.
- Effective and collaborative team player, sharing information freely, working as a team player to achieve overall goals.
- Good interpersonal skills; adept at building relationships.

Hours of Work
- Normal working hours are 8:00 am – 4:00 pm, Monday to Friday.
- Flex hour policy in place to maintain 37.5 hours per week.
- Shifts and hours may change according to departmental requirements. Willingness to work some early morning or evening hours required for meetings, events and extra workload.
