Project Administrator/HR Coordinator Job Posting

CTM Design Services Ltd. is looking to add a Project Administrator/HR Coordinator to our team on a full-time basis. This position will report to the Administrative Director and be responsible for providing administration and coordination support to various Project Managers and Clients, along with HR coordination.
Roles and Responsibilities
- Utilize our project management software to set up projects and track project progress.
- Help maintain project documentation within our Document Management Software.
- Support Contract Administration responsibilities.
- Provide construction tender support to Project Managers. This includes compiling tender documents and filling in general tender information, distributing necessary documents to Project Managers to complete, putting completed tender package together and issuing to client or General Contractors.
- · Provide support for project permitting which includes calling municipalities, filling out permit applications, completing Construction Schedules, submitting complete permit packages to municipalities, and tracking permit applications.
- Monthly client invoicing.
- Assist with recruitment, such as posting job openings, screening applications, scheduling interviews, and handling initial communications with candidates.
- Maintain accurate and confidential employee records by updating databases with new hires, terminations, leaves, transfers, and other changes.
- Prepare new employee documentation, including onboarding paperwork, payroll details, and benefits enrolment.
- Respond to employee inquiries related to benefits, company policies, and HR procedures, while fostering a positive, open line of communication.
- Assist with organizing training and development sessions for employees, helping track attendance, feedback, and compliance with ongoing learning initiatives.
- Other miscellaneous duties and project tasks as assigned.
Credentials
- 1 year certificate in Business Administration, Human Resources or equivalent, and a minimum of 2 years of related experience.
- Previous experience with project accounting is an asset.
- Proficiency in using Microsoft Excel, Word, Outlook, and SharePoint.
- Previous experience using project management software is an asset.
- Knowledge of Construction Contracts (CCDC) is an asset.
- Demonstrates the ability to communicate effectively, both verbally and written, with team members and clients.
- Exhibits attention to detail and the ability to complete work efficiently and accurately.
- Organizational skills and ability to take initiative are essential.
- Problem solving skills and ability to think creatively to execute solutions.
Primary Location
- CTM Design is a remote-working employer. Candidates must be able to provide home office facilities. This position, however, may require periodic attendance at our Calgary headquarters, so the successful candidate must be located in or around Calgary.
Position Type
