Gift Processing & Database Coordinator (Part-Time)

Location: Yorkville, Toronto, ON
Work Arrangement: Hybrid (Minimum 2 days per week in-office)
Contract Length: 9-Month Contract with Potential Extension
Schedule: Part-Time, 3 Days per Week (7 Hours per Day)
Compensation: $30.00 per Hour

About the Opportunity

We are seeking an experienced Gift Processing & Database Coordinator to provide operational support for a busy fundraising and donor services team. This role is focused on gift processing, tax receipting, donor database maintenance, reconciliation support, and data quality management.

This is a hands-on production role requiring direct experience with Raiser’s Edge and/or Raiser’s Edge NXT. Due to the immediate operational needs of the team, candidates must be able to work independently with minimal training.

Key Responsibilities

Gift Processing & Batch Management
Process online and offline donations accurately and efficiently using Raiser’s Edge / Raiser’s Edge NXT.
Process one-time gifts, recurring donations, pledge payments, third-party donations, and gift adjustments.
Create, review, reconcile, and balance gift batches.
Identify and escalate incomplete, unusual, or complex gifts for review.
Tax Receipting & Donor Record Maintenance
Generate charitable tax receipts and donor acknowledgements in accordance with established procedures and regulatory requirements.
Update and maintain donor and constituent records to ensure data accuracy and consistency.
Perform routine data quality activities, including duplicate review, address updates, record cleanup, and follow-up on missing information.
Support ongoing database maintenance initiatives.
Reconciliation & Documentation Support
Maintain organized electronic and physical records, including gift documentation, batch reports, correspondence, and audit support files.
Assist with audit preparation by ensuring documentation is complete and properly organized.
Administrative & Process Support
Follow documented procedures, workflows, checklists, and escalation protocols.
Assist with maintaining standard operating procedures and process documentation.
Support day-to-day database and gift processing operations as required.

Qualifications

Required Experience

Mandatory: Minimum 2 years of hands-on experience using Raiser’s Edge and/or Raiser’s Edge NXT in a fundraising, charitable, or non-profit environment.
Experience processing charitable donations, including recurring gifts, pledge payments, third-party gifts, and adjustments.
Experience with gift entry, donor record maintenance, tax receipting, and gift reconciliation.
Strong understanding of donor database management and data quality practices.
Experience maintaining accurate audit trails and supporting reconciliation processes.
Technical Skills
Intermediate Microsoft Excel skills, including sorting, filtering, data review, and working with structured datasets.
Proficiency with Microsoft Office 365 (Excel, Outlook, Word, Teams, and SharePoint).
Experience with data imports, ImportOmatic, SmartSync, or similar import tools is considered a strong asset.
