About Us
Founded in 1928, the Ottawa Flying Club is one of Canada's longest-running flight training organizations and operates both a Transport Canada approved Flight Training Unit and Aircraft Maintenance Organization (AMO) at the Ottawa International Airport.
We are seeking a Maintenance Coordinator to support the day-to-day operation of our maintenance department. This position combines technical administration, inventory management, procurement, compliance monitoring, operational support, and coordination between maintenance and flight operations.
This is a hands-on role that requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced aviation environment.

Position Summary
The Maintenance Coordinator plays a key role in ensuring the efficient operation of the maintenance department. The successful candidate will be responsible for maintaining technical records, monitoring regulatory compliance, coordinating procurement activities, managing inventory, preparing maintenance documentation, and supporting maintenance operations.
The Maintenance Coordinator works closely with the Person Responsible for Maintenance (PRM), Aircraft Maintenance Engineers (AMEs), flight operations staff, and management to ensure aircraft maintenance activities are properly documented, supported, and completed efficiently.
Responsibilities
Maintenance Administration & Compliance
- Maintain maintenance databases and records in accordance with the Maintenance Control Manual (MCM), Maintenance Policy Manual (MPM), and applicable Canadian Aviation Regulations (CARs)
- Maintain and update maintenance tracking spreadsheets and monitoring systems
- Maintain and update aircraft technical records and logbooks
- Prepare maintenance work packages
- Prepare maintenance release documentation for review by Authorized Certification Authority (ACA) personnel
- Monitor calibrated tooling and ensure calibration records remain current
- Monitor maintenance-related compliance requirements and due items
- Provide regular updates and reports to the PRM, General Manager, and Chief Flight Instructor
- Create and update online training materials, lesson plans, and internal documentation
Inventory & Procurement
- Receive, inspect, and organize incoming aircraft parts, tools, and supplies
- Maintain accurate inventory records
- Source aircraft parts, tooling, and consumable supplies
- Coordinate with suppliers and distributors regarding pricing, availability, and delivery schedules
- Generate purchase requests and orders as required
- Ensure adequate stock levels of maintenance materials and shop supplies
Operational Support
- Act as a liaison between maintenance and flight operations
- Assist with aircraft movements and aircraft fueling
- Coordinate maintenance scheduling requirements with operational needs
- Conduct occasional local trips to obtain parts, tools, and supplies
- Assist with elementary maintenance activities as permitted and directed
- Support maintenance personnel with miscellaneous operational and administrative tasks
Facility & Safety Support
- Assist in maintaining a clean, organized, and professional hangar environment
- Ensure adequate supplies are maintained throughout the hangar and maintenance facilities
- Monitor and maintain health and safety equipment and supplies
- Participate in the Joint Health and Safety Committee on behalf of the maintenance department
- Support continuous improvement initiatives within the maintenance operation
Qualifications
Required
- Must be legally entitled to work in Canada
- Valid Ontario driver's licence with a satisfactory driving record
- Ability to obtain and maintain a Restricted Area Identity Card (RAIC)
- Ability to obtain and maintain a Level II Security Clearance
- Ability to obtain and maintain a Controlled Goods Program Security Assessment
- Strong Microsoft Excel skills
- Strong computer and administrative skills
- Ability to read and interpret technical documentation, including:
- o Maintenance Manualso Illustrated Parts Catalogueso Service Bulletinso Technical Publications
- Strong organizational and time management skills
- Excellent attention to detail
- Ability to lift up to 50 lbs
- Strong verbal and written communication skills
- Ability to work independently and manage multiple prioritiesPreferred
- Experience in aviation, maintenance administration, logistics, procurement, inventory control, or technical records management
- Familiarity with Canadian Aviation Regulations (CARs)
- Experience working within a regulated environment
- Mechanical aptitude and basic hand tool experience
- Experience with inventory management systems and technical record keeping
- Aircraft towing and fueling experience
