Full job description

Global Wholesale Parts and Global Wholesale Machinery serve construction, mining, oilfield, dealer, fleet, transportation, and industrial customers across Canada, the United States, the Middle East, and global markets.

Our business includes heavy equipment parts, GQP VIP parts ordering, machinery sales, machinery consignments, bulk orders, individual customer orders, inventory coordination, logistics, and customer order fulfillment.

Position Overview

We are seeking an Accounting / Supply Chain Coordinator to support the business equally across day-to-day accounting and supply chain order coordination.

This role is approximately 50% accounting and 50% supply chain.

The ideal candidate must have strong experience with Microsoft Dynamics 365, Sage 50, Microsoft Teams, and advanced Microsoft Excel. Excel macro experience is a strong asset.

Key Responsibilities

Accounting — 50%

Manage day-to-day accounts payable and accounts receivable
Enter and track supplier invoices, customer invoices, payments, credits, and account balances
Match purchase orders, supplier invoices, customer invoices, freight charges, and payment records
Work in Sage 50 and Microsoft Dynamics 365 to maintain accurate accounting records
Support invoicing, payment tracking, reconciliations, deposits, collections, and month-end documentation
Ensure accounting records match order status, inventory movement, freight, and customer billing

Supply Chain / Order Coordination - 50%

Organize and track bulk orders, individual customer orders, parts orders, machinery-related orders, and GQP VIP orders
Work in Microsoft Dynamics 365 and internal software to update order status, inventory, purchase orders, and delivery timelines
Track orders from quote approval through PO, invoice, payment, shipping, delivery, and closeout
Coordinate with sales, accounting, warehouse, logistics, and management to keep orders moving
Track inventory, backorders, lead times, freight updates, and delivery requirements
Maintain accurate Excel tracking sheets, Teams updates, Planner tasks, and internal order files
Escalate shortages, delays, missing information, margin concerns, or urgent customer issues

Required Qualifications

Strong accounting fundamental knowledge required.
Strong experience with Microsoft Dynamics 365
Strong experience with Sage 50
Strong knowledge of accounts payable and accounts receivable
Advanced Microsoft Excel skills, including formulas, pivot tables, and reporting
Excel macroS experience is a strong asset
Strong working knowledge of Microsoft Teams
Experience with supply chain, order coordination, inventory, logistics, or procurement administration
Strong understanding of purchase orders, invoices, payments, freight, inventory, and margins
Excellent attention to detail, organization, communication, and follow-up

Preferred Qualifications

Experience in heavy equipment, parts, construction, mining, oilfield, trucking, transportation, or industrial supply
Experience with freight, customs, import/export documentation, or international shipments
Experience with HubSpot CRM or similar order tracking systems

Ideal Candidate

The ideal candidate is accurate, organized, and systems-driven. You understand that accounting records must be clean and supply chain orders must be tracked from start to finish.

You are comfortable working with payables, receivables, invoices, purchase orders, inventory, freight, order status, customer billing, supplier billing, and internal software systems.

Pay: $36,000.00-$60,000.00 per year
