Job Summary

We are seeking a detail-oriented and organized Finance & Administrative Assistant to support our financial operations and administrative functions. The ideal candidate will have experience with various accounting software and financial services platforms, ensuring accurate data entry, account reconciliation, and efficient management of financial records. Candidates must be fluent in both English and Mandarin Chinese, with strong verbal and written communication skills. This role is vital in maintaining smooth financial workflows and providing administrative support across departments.

Duties

Manage accounts payable and accounts receivable processes using software such as QuickBooks, Sage, Xero, or Workday
Process payroll through systems like ADP, Ceridian, Kronos, or UltiPro
Perform data entry and maintain accurate financial records and documentation
Reconcile accounts regularly to ensure accuracy in financial statements
Assist with budgeting, account analysis, and financial reporting
Support bookkeeping activities and ensure compliance with company policies
Utilize accounting software including PeopleSoft and other relevant platforms for daily operations
Prepare reports related to financial services and assist in audit preparations
Handle administrative tasks such as scheduling, correspondence, and document management related to finance functions

Experience

Proven experience with accounting software such as QuickBooks, Sage, Xero, Workday, or PeopleSoft
Familiarity with payroll systems including ADP, Ceridian, Kronos, or UltiPro
Strong understanding of accounts payable/receivable processes and account reconciliation procedures
Experience with bookkeeping, data entry, and financial reporting
Knowledge of budgeting processes and account analysis techniques
Ability to perform detailed math calculations accurately
Prior experience in a finance or administrative support role is preferred but not required; relevant internships will also be considered
Candidates must be fluent in both English and Mandarin, with strong verbal and written communication skills.
