Under the direction of the Finance and Administration Department, the Classroom Supplies Program Administrator is responsible for the setup and implementation of this new program. As this is a new initiative, the role is being posted as a 10 month term with the potential to become permanent.
Roles and Responsibilities:

Serve as the primary point contact for the Supplementary Classroom Supplies Funding program, ensuring alignment with Ministry policy and internal OCSB objectives ;
Liaise with schools to manage the identification and maintenance of the list of eligible elementary teachers (those with primary responsibility for a classroom) versus ineligible staff, ensuring data integrity;
Monitor and manage program compliance, including tracking annual allotments and verified carryover balances;
Prepare required reporting to the Ministry of Education;
Act as the liaison with the selected vendor to oversee portal access, account setup, and troubleshooting for eligible teachers;
Monitor spending reports provided by the vendor to track account usage and flag anomalies;
Reconcile program expenditures and manage the administrative workflow for "holdbacks" or funds requiring reallocation;
Work closely with Human Resources and Schools to verify homeroom teacher assignments, capture staff movements throughout the school year, and manage the transfer of funds for LTOs (Long-Term Occasional teachers) who meet the 3-month eligibility threshold;
Collaborate with the procurement department to manage vendor relationship issues, portal functionality, and purchasing logistics;
Provide guidance and support to school-level administrators regarding policy interpretation, eligibility questions, and program implementation;
Performs other duties, as assigned by the supervisor.
Required Qualifications:
a degree/diploma in accounting, procurement or a related field ;
two years bookkeeping or related experience;
excellent technical and computer skills in MS Office (Excel, Word), Google applications and MS Dynamics NAV;
superior organizational skills;
good communication and interpersonal skills;
accustomed to working to rigid deadlines with frequent interruptions;
individuals who possess an equivalent combination of education and experience will also be considered

Enrolment in the CPA Professional Education Program.
Annual Salary: This is a full-time, 10 month temporary position with a salary range of $49,117 to $52,809.
The effective date is approximately August 17, 2026.
