Client Care & Clinic Flow Coordinator (Part-Time)

Location: Smiths Falls & Perth, Ontario
Wellness Clinic | Chiropractic | Multidisciplinary Practice

About Us:

Optimum Health (Smiths Falls) and Cordick Chiropractic (Perth) are multidisciplinary wellness clinics offering chiropractic care and massage therapy. We take a relationship-driven approach to care, where building trust and guiding patients through their health journey is just as important as the treatment itself.

Our clinics operate with a small, tight-knit team. This role is part of a three-person staff team rotating between the two clinics. Each team member plays a vital role in maintaining smooth clinic operations and high-quality patient care.

The Role:

This is not a traditional front-desk or administrative role. You’ll act as a strategic support to our chiropractors and a key facilitator of the patient experience.

This position typically involves approximately 30 hours per week which can be adjusted up or down slightly based on the candidate. There will be an occasional need for flexibility to cover up to 40 hours per week on occasion — such as during team member holidays or absences. You must also be able to open the clinic by 7:00 AM and/or close between 6:00–6:30 PM depending on your assigned shift. Initial compensation begins $20 per hour.

Responsibilities:

Greet and guide patients with warmth, confidence, and professionalism
Manage the front desk: scheduling, check-ins, payments, phone calls, and daily open/close tasks
Monitor and maintain clinic flow, moving patients into treatment rooms promptly to prevent delays
Anticipate practitioner needs and help them maintain clinical momentum
Address patient concerns with empathy and professionalism, reinforcing the long-term wellness goals of care
Support patients in rebooking with clarity and intention (e.g., educating around proactive care vs. symptom-based visits)
Contribute to business tasks: inventory, ordering, light social media engagement, and patient education
Foster a calm, respectful, and health-focused atmosphere across both clinics
Collaborate with the wider team to ensure smooth cross-location operations and patient continuity

About You:

You’re people-smart — you can read body language, energy, and tone without being told
You’re confident, assertive, and professional in your communication — with both patients and practitioners
You are comfortable learning in a dynamic and scenario based fashion.
You can move quickly, solve problems on the fly, and handle shifting priorities without losing focus
You have strong emotional intelligence and can balance empathy with leadership
You’re energized by creating order, solving problems, and being part of a team
You’re open to feedback and committed to long-term growth — both for yourself and the clinic

Requirements:

Availability for approximately 30 hours per week, with flexibility to cover up to 40 hours as needed
Ability to open the clinic at 7:00 AM and/or close between 6:00–6:30 PM depending on shift
Reliable transportation and flexibility to work at either our Smiths Falls or Perth clinic locations
Excellent verbal and written communication in English
Comfortable with scheduling software and basic office programs (e.g., Word, Excel)
Minimum high school diploma (or equivalent)
Previous office experience is welcome but not required — we prioritize mindset and people skills over paper qualifications
