We are a growing, customer-focused company seeking an exceptional Office Manager / Project Coordinator / Scheduling & Administration Manager to become a key member of our leadership team. You will serve as the central point of communication between customers, suppliers, field staff, and management while ensuring projects are scheduled, documented, and completed successfully.
What You'll Be Doing
- Coordinate projects from initial order through completion.
- Schedule installation crews, service technicians, and deliveries.
- Maintain project schedules and communicate updates with customers and project stakeholders.
- Prepare work orders, purchase orders, invoices, and project documentation.
- Monitor project progress and assist in resolving scheduling conflicts.
- Coordinate material orders and supplier deliveries.
- Support estimating and project management teams.
- Manage office administration, filing systems, and company documentation.
- Answer customer inquiries professionally and provide exceptional service.
- Assist with accounts receivable, accounts payable, payroll support, and general bookkeeping functions.
- Maintain accurate records within company software systems.
- Support management with reporting, process improvements, and special projects.

Preferred Experience
Experience in one or more of the following industries is considered an asset:

- Commercial glazing
- Manufacturing
- Service operations
- Property maintenance
- Mechanical trades
- Industrial or commercial contracting
Experience with scheduling software, project management systems, accounting software (QuickBooks, Sage, or similar), ERP systems, and CRM platforms is highly desirable.
Qualifications
- Minimum 3–5 years of office administration, project coordination, or operations support experience.
- Scheduling or dispatch experience preferred.
- Strong organizational and time-management abilities.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and manage competing priorities.
- Post-secondary education in business administration or project management is an asset but not required.
