Job Summary

We are seeking an energetic and highly organized Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle incoming calls with professionalism, and provide exceptional customer service to visitors and clients. Your proactive approach and attention to detail will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic environment.

Responsibilities

Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette.
Handle all front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming and outgoing mail.
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software tools.
Maintain organized filing systems both physically and electronically, ensuring easy retrieval of documents.
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry platforms.
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
Prior experience handling multi-line phone systems and demonstrating professional phone etiquette.
Demonstrated customer service skills with a friendly attitude and ability to support diverse client needs.
Familiarity with filing systems, proofing documents for accuracy, and performing basic bookkeeping tasks such as invoicing or record keeping is highly desirable.
