Job Summary

We are looking for an Administrative Coordinator to support our demolition and labour supply operations. The ideal candidate will maintain accurate daily labour hours, update job‑site assignments, and ensure all worker data is organized for payroll and scheduling. This position is ideal for someone who thrives in a fast-paced construction environment, enjoys coordinating people and schedules, and has strong attention to detail.

Duties

Coordinate daily scheduling and dispatching of labour personnel to various client sites.
Maintain and update the labour pool database with employee information, certifications, qualifications, skills, and work experience.
Verify that all workers possess the required safety training, certifications, and tickets before dispatch.
Track labour availability and maintain an accurate manpower report.
Match workers with client requirements based on their skills, experience, and qualifications.
Monitor worker placements and maintain records of which employees worked for each client and project.
Track daily and weekly labour hours.
Ensure all client-approved timesheets and sign-offs are received.
Verify labour hours for accuracy before submitting payroll information.
Maintain accurate records for reporting and invoicing purposes.
Communicate daily with field personnel, supervisors, and clients regarding scheduling changes and labour requirements.

Experience

Prior experience in an office environment is preferred, especially in administrative or clerical roles
Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry systems is highly desirable
1–2 years of basic administrative or data entry experience
Experience maintaining records, logs, or schedules
Experience communicating with supervisors or team leads to collect information
Experience handling multiple tasks and updating information regularly

Pay: $17.28-$22.00 per hour
