Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team and keep our daily operations running smoothly. In this vital role, you will serve as the backbone of our office environment, managing administrative tasks, supporting team members, and ensuring an efficient workflow. Your proactive approach and excellent communication skills will help foster a professional and welcoming atmosphere for clients, visitors, and staff alike. Duties

Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
Handle data entry tasks accurately using tools such as QuickBooks, Microsoft Office, and Google Workspace to maintain organized records.
Oversee filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with organizational standards.
Support bookkeeping activities by reconciling accounts, processing invoices, and maintaining financial records with attention to detail.
Assist with scheduling appointments, coordinating meetings, and managing calendars for staff members.
Perform clerical duties such as proofreading correspondence, preparing reports, and maintaining office supplies inventory.
Provide customer support by addressing inquiries professionally and efficiently while demonstrating excellent phone etiquette.

Qualifications

Proven clerical or administrative experience in an office environment, preferably within a medical or dental setting.
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks.
Experience with data entry, filing systems, and multi-line phone systems is essential.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Demonstrated customer service skills with a friendly and professional demeanor.
Knowledge of medical or dental office procedures is a plus; familiarity with front desk operations is highly desirable.
Typing speed of at least 50 words per minute along with proofreading abilities to ensure accuracy in all communications.
Ability to handle confidential information discreetly while maintaining high standards of professionalism.
