Job Summary

We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth administrative workflows and providing exceptional support to staff and clients alike. Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office tools, Google Workspace, and QuickBooks for bookkeeping and record-keeping
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
Provide excellent customer service by addressing inquiries via phone, email, or in person, demonstrating proper phone etiquette and customer support skills
Assist with administrative tasks such as proofreading documents, scheduling appointments, and managing calendars
Support medical or dental office operations by handling patient or client information with confidentiality and precision
Perform general clerical duties including photocopying, faxing, scanning, and updating records as needed

Qualifications

Proven clerical experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
Experience with QuickBooks or other bookkeeping software is highly desirable
Prior front desk or receptionist experience in a medical or dental office is a plus
Excellent typing speed along with strong proofreading abilities
Knowledge of multi-line phone systems and proper phone etiquette required
Demonstrated ability to handle data entry accurately while managing multiple priorities effectively
Previous experience in customer service roles that involve patient or client interaction is preferred
