Job Description:

We are seeking a highly organized and detail-oriented Office Administrator to join our HVAC team. The ideal candidate will have experience in the HVAC industry, and proficiency in managing office operations with a focus on customer service, invoicing, and scheduling. This role requires familiarity with various office software, including Housecall Pro, Invoice2Go, and Microsoft Office Suite.

Responsibilities:

Responsibilities
Manage daily office operations, including clerical tasks and administrative support.
Utilize Microsoft Office Suite, particularly Excel and Word, for documentation and reporting.
Handle communication with clients and vendors via multi-line phone systems and email.
Assist with bookkeeping and payroll tasks using QuickBooks.
Organize and maintain office files, ensuring efficient vendor management and record-keeping.
Support team management through training and development initiatives.

Requirements:

Prior experience in the HVAC industry is required.
Proficient in using Housecall Pro and Invoice2Go software.
Comfortable using Microsoft Office Suite (Word, Excel, Outlook).
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Ability to work independently and as part of a team

Preferred Qualifications:

Previous office administration experience in the HVAC field.
Knowledge of basic accounting and invoicing procedures.
Ability to manage multi-line phone systems and vendor relationships

Job Type: Full-time

Pay: $18.00-$23.00 per hour
