ABOUT THE ROLE
Reporting to the Director, Human Resources & Payroll, the HRIS Administrator (Dayforce) is responsible for the day-to-day management, configuration, maintenance, optimization, and continuous improvement of our Dayforce HCM platform for a fast-paced, multi-location retail environment. This role ensures the system operates efficiently across HR, Payroll, Time & Attendance, Workforce Management, and Reporting modules. The administrator partners closely with HR, Payroll, IT, Store Operations, Loss Prevention and business leaders to support daily operations, troubleshoot issues, implement enhancements, and provide ongoing support.
The HRIS Administrator plays a key role in providing technical expertise and support for Dayforce Human Capital Management (HCM) systems. Working in close collaboration with Dayforce team members, internal departments, and external vendors, this role is responsible for managing system-related requests and ensuring that Dayforce applications operate efficiently and effectively across Bulk Barn Foods Limited.
Duties and Responsibilities
Project/Task Management
- Partner with business units, superusers, and external support vendors to ensure application solutions align with company objectives.
- Work closely with the Manager, Payroll to plan, design, develop, and implement Dayforce solutions. This includes generating reports, dashboards, KPIs, discovery boards, and workbooks, as well as managing vendor updates and patches.
- Serve as the primary administrator of Dayforce.
- Maintain, configure and optimize the Dayforce HRIS system.
- Ensure set-up/defaults are compliant with regulatory and legislative requirements
- Collaborate with cross-functional teams (HR, Payroll, Loss Prevention, IT and Store Operations) on system enhancements, implementation and automation opportunities.
- Provide end-user support and serve as the primary contact for technical issues related to Dayforce.
- Manage system settings, security roles, workflows, and permissions.
- Troubleshoot issues related to time clock punches, missed shifts, schedule publishing, and pay discrepancies.
- Develop and maintain all documentation relating to the technical environment including testing and support.
- Create and maintain system generated reports to analyze payroll and HR related data.
Monitoring, Performance & Reliability
- Support data integrity by managing system audits, data uploads and troubleshooting issues.
- Oversee imports/exports, data loads, and integrations with internal and external systems.
- Monitor system performance and proactively resolve issues.
- Ensure system readiness for holiday schedules, peak seasons, inventory events and new store openings.
- Assist with ongoing systems and process improvement initiatives to ensure efficient data flow is captured and reporting capability/requirements are met.
- Resolve payroll/system issues and ensure the payroll system is meeting the needs of the business.
Project Implementation & Technology Improvement
- Serve as the Dayforce subject matter expert on system capabilities, workflows, organization and integration.
- Lead HRIS related projects from planning through implementation (including system updates, testing, addition of new feature/modules).
- Responsible for remaining updated and current on all payroll system upgrades and for the execution and implementation into daily practice.
Documentation & Change Management
- Train HR/Payroll team members and end-users on Dayforce functionality and reporting tools.
- Manage labor rules, premium pay, meal/rest break compliance, payroll pay codes and jurisdictional scheduling requirements.
- Maintain system documentation, workflows and process guides to support change management.
Communication
- Coordinate with Dayforce Support to resolve escalated issues.
- Establishes credibility throughout the organization to be an effective listener and problem solver of people issues.
- Communicates professionally, both verbally and in writing to internal and external customers/clients.
- Responds to internal customers/clients within 24 hours from time of initial contact.
Process Improvement
- Ensure complex system problems are resolved in a timely manner and critical computers are returning to the business.
- Ensure the root cause of the problem is identified, and plans are executed to ensure it will not reoccur.
Problem Solving
- Manage day-to-day system operations, including troubleshooting, configuration, user permissions and integrations.
- Troubleshoot system errors, data discrepancies, and workflow failures.
Detail Orientation
- Perform regular audits of employee data, job assignments, pay rates, and store transfers.
- Maintain data accuracy through audits, validations, and quality checks.
Upgrades, Enhancements & Projects
- Lead Dayforce release management: review release notes, test changes, and communicate impacts.
- Participate in cross-functional projects involving HR technology or process redesign.
- Responsible for planning, designing and development and deployment of Dayforce solutions and managing vendor releases and enhancements.
- Support the Company in ensuring compliance with all applicable Canadian human resources and payroll legislative requirements.
- Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures
- Any other duties as required.
Qualifications
- Post-Secondary education in HR, information systems or related discipline.
- 3-5 years’ experience working in HRIS administration with Dayforce.
- 3-5 years experience supporting business application systems, system configuration and technical design
- Dayforce certification or equivalent experience, as asset.
- Strong integrity, ability to maintain confidentiality and manage highly sensitive information.
- Strong analytical and problem-solving skills with high attention to detail.
- Ability to follow through with all assignments from start to finish with minimal supervision
- Experience in the retail/grocery sector, an asset
- Ability to work efficiently and manage multiple priorities in a fast-paced environment
- Advanced Excel skills
- Well-developed communication skills (written, spoken and presentations)
- Knowledge and proficiency of Dayforce HCM payroll applications
- Applied knowledge of local labour laws and statutes for employment across Canadian provinces
