Reporting to the Director, Graduate, with functional supervision from the Graduate Admissions and Administration Coordinator, the Graduate Admissions Officer is a professional role responsible for the evaluation and adjudication of graduate applications to the University of Northern British Columbia. The position ensures the accurate, timely, and equitable assessment of applications in accordance with Senate regulations, institutional policies, and established procedures. The Graduate Admissions Officer serves as a subject matter expert in graduate admissions, acting as a key resource to applicants, faculty, and staff throughout the admissions cycle, and contributing to a high-quality, service-oriented experience from application through admission decision.
Responsibilities
Specific duties include, but are not limited to:
Admissions Assessment and Decision-Making
- Conducting comprehensive assessments of graduate applications, including evaluation of academic credentials, admissibility, and program requirements in alignment with institutional policies and standards;
- Calculating and validating grade point averages (GPA) for domestic and international applicants and assessing equivalencies across diverse educational systems;
- Preparing and coordinating applications for program-level review and support timely and accurate admission decisions; and
- Entering and finalizing admission decisions within the student information system, ensuring integrity of all associated processes and records;
Application Processing and Records Management
- Managing the full lifecycle of applications within Banner and related systems, including completeness checking, document tracking, data entry, and file closure and archiving
- Maintaining accurate and up-to-date records, performing regular audits to ensure data integrity and alignment with institutional standards; and
- Monitoring application volumes and workflows to support efficient and timely processing, particularly during peak periods;
Advising and Support
- Providing professional, responsive service and guidance to prospective and current students, applicants, faculty, program Chairs, Deans, and administrative staff;
- Interpreting and communicating complex admissions requirements, policies, and procedures in a clear, consistent, and accessible manner; and
- Responding to inquiries and resolving issues through multiple communication channels (e.g., email, phone), ensuring a high standard of service;
Collaboration and Liaison
- Liaising with program Chairs, faculty members, and academic units to support admissions decision-making processes and ensure alignment with program requirements and timelines; and
- Working collaboratively with the Graduate Administration team and broader Registrar’s Office to support integrated enrolment management processes;
Systems, Reporting, and Continuous Improvement
- Compiling, tracking, and maintaining admissions data, including preparation of reports and analysis to support operational needs;
- Supporting the development, testing, and implementation of systems and process improvements related to graduate admissions; and
- Identifying opportunities to enhance service delivery, operational efficiency, and the applicant experience;
Training and Knowledge Sharing
- Providing guidance, training, and knowledge transfer to staff within and external to the unit, including program administrative assistants supporting admissions-related processes; and
- Developing, maintaining, and updating procedural documentation and knowledge base materials to support consistency and continuity of operations;
Operational Support
- Providing backup support across admissions functions during peak periods and contribute to special projects and initiatives within Graduate Administration as required.
Qualifications
The successful candidate will possess the following:
- A minimum two-year certificate or diploma in a relevant field.
- 2+ years’ experience in Office of the Registrar (or similar) admissions unit, preferably graduate level, including demonstrated experience in credential evaluation (domestic and international) and admission applications processing. Intermediate to advanced work experience in an application system (e.g. EPBC), complex relational databases (e.g. Banner) and a CRM (e.g. TargetX) is essential.
An equivalent combination of education and experience will be considered.
Knowledge, Skills and Abilities
The following is considered essential for success in this position:
- Advanced customer service skills including experience working with people from diverse backgrounds;
- Extensive knowledge of post-secondary education systems (domestic and international);
- Proficiency in the use of the Microsoft Office suite (Word, Excel, etc.);
- Strong skills in the use of SharePoint and Teams;
- Working knowledge and experience utilizing reporting tools and relational databases (i.e. Banner, FAST, Argos);
- Experience working with a web content management tool (e.g. Drupal);
- Experience working with a CRM (e.g. TargetX);
- Strong organizational skills and the ability to analyze, research and interpret information
- Ability to work independently and as an active member of an integrated team in a busy and challenging environment with multiple changing deadlines;
- Aptitude for working collaboratively across a broad range of administrative tasks with strong multitasking skills;
- Exceptional critical thinking skills with a demonstrated competence in solving problems and anticipating outcomes;
- Exceptional written and verbal communication skills, including the ability to convey complex information to a lay audience;
- Ability to problem solve, work under pressure, and maintain a high level of accuracy
- Experience interpreting and administering university policies and procedures;
- Ability to effectively communicate and work collaboratively with staff, faculty members and students; and
- Training applied experience with FIPPA and privacy requirements in a post-secondary setting.
Salary
This position has been classified at a Grade 9. The annual salary range for this position is $70,215.60 to $73,127.60 and the normal starting salary will be $70,215.60 pro-rated based on length of term.
